The Alumni Co-ordinator will plan, coordinate and deliver a programme of alumni‑focused activities and engagement initiatives that strengthen relationships between the school and its former students. The role will support the development of an active and connected alumni community, working closely with staff, students, parents, and external partners to deliver events, communications and legacy‑style projects that celebrate the school’s history and ongoing impact.
The postholder will be responsible for alumni engagement, ensuring activities are well organised, inclusive and aligned with the school’s values and strategic priorities.
Key Responsibilities:
Event Planning and Delivery

Plan, co-ordinate and deliver a range of alumni and community engagement events, such as assemblies, exhibitions, talks, receptions and school celebrations.
- Develop and manage event schedules, logistics and resources to ensure successful outcomes within agreed timescales and budgets.
- Coordinate practical arrangements including invitations, bookings, catering, audio‑visual requirements, venues and risk assessments.
- Liaise with external suppliers, speakers, performers and venues as required.
Alumni, Stakeholder and Community Engagement

Act as the main point of contact for alumni engagement activities.
- Build and maintain positive relationships with alumni, staff, students, parents, governors and community partners.
- Recruit, brief and coordinate volunteers to support alumni and community events.
- Work collaboratively with internal teams to maximise engagement and participation across the school community.
Communications and Legacy Development

Support the development and delivery of alumni communications, including branding, publicity, newsletters, social media and event materials.
- Ensure all communications and materials align with Dunottar School’s brand guidelines, working closely with the Marketing Team to maintain consistency in tone, style and visual identity and to agree appropriate messaging and sign-off for all content.
- Capture and record alumni activities and school milestones through photography, film, displays or digital content.
- Support the development of longer‑term alumni or school legacy resources, such as digital archives, publications or displays for future students and staff.
Project Management and Administration

Manage allocated budgets responsibly and ensure value for money.
- Maintain accurate records related to alumni contacts, events and project activity.
- Provide regular updates to the Director of Marketing, Admissions & Communications and contribute to evaluation and reporting.

Essential Criteria
Experience and Knowledge

Experience of planning and delivering events or projects, ideally within an education, community, charity or alumni context.
- Experience of working with a wide range of stakeholders, including volunteers and external partners.
- Understanding of effective engagement and communication strategies.
Skills and Abilities

Strong organisational and project management skills, with the ability to prioritise and meet deadlines.
- Excellent and adaptive communication and interpersonal skills, with confidence engaging audiences of varying ages and backgrounds.
- Ability to work independently while contributing effectively to a wider team.
- Experience supporting marketing or promotional activity, including the use of CRM systems or databases to manage stakeholder information and communications.
- Good general IT skills, including email, Microsoft Office and digital tools for communication and record-keeping.
- Attention to detail with a proactive, problem‑solving approach.
