The Role

We are looking for a proactive and detail-oriented Admin Assistant to join our friendly, fully remote team! You will be responsible for day-to-day office coordination tasks, including calendar management, document creation and editing, and facilitating smooth communication within the team and with clients. The ideal candidate is highly organized, self-motivated, and passionate about enabling others to do their best work.

Key Responsibilities

Manage and coordinate calendars, schedule meetings, and resolve scheduling conflicts across multiple time zones.
Create, format, and edit documents, presentations, reports, and internal communications using tools like Google Workspace and Microsoft Office.
Serve as a point of contact for internal team members and external clients, ensuring timely and professional follow-ups.
Assist with onboarding new team members by preparing access documents, organising introductory calls, and sharing internal resources.
Maintain and organize shared digital workspaces (e.g., Google Drive, Notion, Dropbox) to ensure easy access to up-to-date information.
Support the team with basic data entry, expense tracking, and invoice coordination as needed.
Provide general administrative support to leadership and project managers, helping to streamline daily operations.

Excellent organizational and time-management skills, with keen attention to detail.
Strong written and verbal communication skills; comfortable interacting with team members and clients at all levels.
Proactive problem-solver who can anticipate needs and prioritize multiple tasks effectively.
High level of discretion and professionalism when handling sensitive information.
Fluent in English (professional proficiency required).

Your professional toolkit: skills & experience

Minimum of 2 years of experience in an administrative, office coordination, or executive assistant role (remote experience is a strong plus).
Proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint).
Experience with collaboration tools such as Slack, Zoom, Trello, Asana, or similar platforms.
Ability to quickly learn and adapt to new software and digital tools.
Nice to have: Polish language skills (in addition to professional English), as you may support team members or clients in Poland.
