About the Role
We’re looking for a highly organised and proactive Workshop & Fleet Administrator to support the smooth running of our busy workshops and the management of both our internal fleet of around 450 assets and a growing portfolio of external customer fleets.
Our assets include cars, vans, trucks, trailers, and a variety of specialist equipment — so this is a role for someone who thrives in a fast-paced environment and enjoys keeping complex operations running like clockwork.
Key Responsibilities
- Coordinate day-to-day administration for the workshop, ensuring all jobs are logged, scheduled, and completed efficiently.
- Maintain accurate records for approximately 450 internal fleet assets, including service schedules, MOTs, inspections, repairs, and compliance documentation.
- Support the management of external customer fleets, providing timely updates, documentation, and excellent customer service.
- Liaise with technicians, drivers, suppliers, and customers to ensure smooth communication and workflow.
- Monitor and update fleet management systems, ensuring data accuracy at all times.
- Process purchase orders, invoices, job cards, and warranty claims.
- Assist with planning preventative maintenance and ensuring all vehicles remain compliant with legal and company standards.
- Produce reports on fleet performance, workshop activity, and compliance status.
- Support the Workshop Managers with general administrative duties and operational coordination.
About You
- Experience in fleet administration, workshop administration, transport operations, or a similar environment.
- Strong organisational skills with the ability to manage multiple priorities.
- Confident communicator who can work effectively with internal teams and external customers.
- Comfortable working with fleet management or maintenance software (training provided if needed).
- High attention to detail and a proactive approach to problem-solving.
- Knowledge of compliance requirements for cars, vans, trucks, and trailers is an advantage.

Pay: £26,000.00-£34,000.00 per year
