Personal Assistant to Entrepreneur / Businesswoman
Overview
We are seeking an exceptional Personal Assistant to provide comprehensive support to a dynamic and highly successful businesswoman. This is a varied and fast-paced role requiring an individual who is highly organised, proactive, discreet, and capable of managing both business and private affairs with equal professionalism.

Key Responsibilities
Diary and Schedule Management
- Manage and coordinate complex business and private diaries.
- Oversee appointments, meetings, events, and commitments across multiple time zones, particularly within the USA and Canada.
- Ensure the Principal is fully prepared for meetings and engagements, with all relevant information provided in advance.
- Anticipate scheduling conflicts and proactively identify solutions.
Client and Stakeholder Liaison
- Act as a key point of contact for clients, business associates, and professional contacts.
- Maintain excellent relationships with stakeholders through professional and timely communication.
- Ensure all client interactions are managed efficiently and that the Principal remains ahead of commitments and deadlines.
- Liaise with media contacts, press representatives, and external agencies when required.
Travel Management
- Organise and coordinate complex domestic and international travel arrangements.
- Prepare detailed travel itineraries, including flights, accommodation, transfers, reservations, and meeting schedules.
- Manage last-minute travel changes efficiently and effectively.
Administration and Financial Support
- Assist with statement reconciliation and expense management.
- Support basic bookkeeping functions where required.
- Experience with QuickBooks would be advantageous, although full training can be provided.
- Maintain accurate records and ensure financial documentation is organised and up to date.
Household and Lifestyle Management
- Assist with the organisation of private engagements and household events.
- Coordinate weekend entertaining, family gatherings, and social occasions.
- Liaise with household staff, suppliers, contractors, and service providers to ensure smooth day-to-day operations.
- Support the Principal with personal projects and lifestyle management requirements.
Technology and Systems
- Demonstrate excellent computer literacy across Microsoft Office, Google Workspace, and modern business applications.
- Stay informed regarding emerging technologies, digital tools, and AI-driven solutions that can improve efficiency and productivity.
- Assist with the implementation of systems and processes that support the Principal's business and personal activities.
Candidate Profile
The ideal candidate will possess:
- Previous experience as a Personal Assistant, Executive Assistant, or similar support role.
- Exceptional organisational and time-management skills.
- The ability to manage multiple priorities simultaneously.
- Outstanding written and verbal communication skills.
- High levels of discretion, professionalism, and confidentiality.
- Strong attention to detail and excellent problem-solving abilities.
- Confidence working independently and taking initiative.
- Advanced computer skills and an interest in modern technology and digital innovation.
- Experience in diary management across multiple international time zones.
- Basic bookkeeping knowledge (QuickBooks experience beneficial but not essential).
