Are you an organised and proactive administrator looking for a varied role within a busy and supportive team?

An exciting opportunity has arisen for a Facilities Services Assistant to join Rotherham Council's Facilities Services team. This is a fantastic opportunity for someone with strong administrative, customer service and IT skills who enjoys working in a fast-paced environment and takes pride in providing high-quality support.

As a Facilities Services Administrator, you will play an important role in supporting the day-to-day operation of the service, ensuring that administrative processes are delivered efficiently and accurately. You will work closely with colleagues, customers, contractors and stakeholders across a range of service areas, helping to ensure the smooth running of essential council services.

What You'll Be Doing

Providing comprehensive administrative support across Facilities Services.
Inputting, maintaining and updating data across a range of systems and databases.
Supporting the administration of employee absence management processes.
Assisting with recruitment administration, including arranging interviews, processing documentation and maintaining recruitment records.
Providing support to the Facilities Helpdesk, responding to enquiries and directing requests appropriately.
Handling telephone, email and face-to-face enquiries in a professional and customer-focused manner.
Processing orders, service requests, invoices and other administrative documentation.
Producing letters, reports, spreadsheets and correspondence using Microsoft Office applications.
Maintaining accurate records in line with data protection, financial and audit requirements.
Managing incoming and outgoing post and undertaking general office administration duties.
Building positive working relationships with colleagues, customers and external stakeholders.

About You

We are looking for someone who:

Has excellent administrative and organisational skills.
Demonstrates strong attention to detail and accuracy.
Is confident using Microsoft Office applications, particularly Excel, Word and Outlook.
Has experience of data entry and maintaining accurate records.
Can handle confidential and sensitive information appropriately.
Has excellent communication and customer service skills.
Can manage competing priorities and work effectively under pressure.
Works well as part of a team and can also use their own initiative.
Has a positive, flexible and professional approach to work.
