European Document Controller & Database Admin

What does a typical day look like? These are your main tasks:
- Document Control: Provide document control services to all EU sites to collate, name and store in EDMS as-built and in design documents.
- Database Admin: Responsible for configuring and optimizing database fields to capture essential data, and for inputting and extracting information to generate required documentation such as datasheets for all EU sites
- SAP: Responsible SAP procurement activities for the engineering team, managing data entry and extraction for asset tracking and analysis, and reporting on project spends for all EU sites.
What exciting challenges will you take on in this role? These are your Job Responsibilities
- Manage all project documentation ensuring a standard naming convention is adopted across all EU sites both in the project design phase and as built documentation
- Collate historical documentation from the sites (in electronic format), and using engineering knowledge generate suitable document numbers and files names appropriate to the document/drawing. Load the documents to the DMS (Document Management System) and relevant technical data to the Engineering database
- Manage the document workflow process (including owning the MOC actions) for all EU engineering projects for issued for construction through to as-built and loading to the DMS
- Bulk load engineering data to the engineering database
- Manage master data (e.g. standard instruments, equipment, physical properties etc) in the engineering database
- Manage the template (e.g. datasheets) configuration in the engineering database
- Manage the team authorisations in the engineering database and SharePoint
- Development of IT tools with IT (e.g. SharePoint, reporting templates etc) for the engineering team
- Manage the SAP Asset management records for all new projects based on the equipment procured/installed for all EU sites
- Extract and Report Monthly project spends and resource utilisation for each site in a standard dashboard
- Creating purchase requisitions and orders for the engineering team, processing goods receipts as directed.
The role-holder has jurisdiction to make decisions relating to:
- Agreement on key decisions with stakeholders (site maintenance leaders, site leaders, central and site engineering resources)
- Document and reporting standards
What is required to be successful in this role? (Education & Experience):
- Engineering discipline qualifications (process preferred)
- Knowledge and basic understanding of all types of engineering & project management documents
- Excellent verbal and written communication skills, including effective communication with others for whom English is their second language
- Knowledge of SAP procurement, maintenance and project systems
- Knowledge of modern Microsoft tools such as SharePoint with strong IT skills to learn new applications
- Knowledge of database structures/methodology (eg linking of data via a key)
