HR Administration - Required for our Bedford office.
Salary: £14.50 Per Hour (Part Time)
Job Purpose:
To support the smooth running of care services by managing administrative tasks, ensuring accurate records, and maintaining compliance with CQC guidelines, safeguarding, and employment regulations.
Key Responsibilities
- Maintain staff and service user records, and incident reports
- Work with managers to ensure all documentation is audit-ready for CQC inspections
- Upload and maintain records on systems like BrightHR / internal trackers
- Maintain employee files (contracts, ID, references, training records)
- Support onboarding (DBS checks, right to work, induction documents)
- Monitor training compliance (mandatory courses, refreshers)
- Assist with supervision and probation documentation
- Support HR with Onboarding documentation and Interview process
- Collect and verify timesheets
- Check discrepancies with Timesheets and Rota
- Assist accounts teams with submitting accurate data to payroll
- Supporting with exit interviews and Sickness Reviews, Performance and Absence management
- Able to plan and prioritise workload
Communication & Coordination
- Handle emails, calls, and general enquiries
- Coordinate meetings, supervisions, and training sessions
Safeguarding & Incident Support
- Log incidents/accidents and maintain records
- Support safeguarding reporting processes
- Ensure proper documentation for investigations and audits
Key Skills Required
- Strong attention to detail, organisation, and record-keeping
- Confidentiality and GDPR awareness
- Good communication skills
- Ability to work under pressure in a fast-paced care environment
- Strong working knowledge of HR Best practice and UK employment law
- Need previous experience in managing a recruitment process, from role creation through to successful on board.
- Need to have strong IT skills, be proficient in the MS Office Suite and preferably have experience using a candidate management system.
Experience
- Experience in interviewing staff and seeking references.
- Experience with HR/Payroll system software's.
- Experience working in social care sector.
- Has worked in a social care recruitment setting.
- A desire to succeed and build a successful career.
- Excellent presentation and communication skills
