Office Administrator – Sales & Lettings
Role Overview
We are looking for an organised, proactive and personable part time Office Administrator to join the Charles Head team.
This is a central role within the business, responsible for ensuring the smooth day-to-day running of our busy office while providing administrative support across both our Sales and Lettings departments. Working closely with the Director and wider team, you will play a key part in delivering exceptional customer service, maintaining operational efficiency and ensuring every client receives a first-class experience.
This role would suit someone who enjoys working in a fast-paced environment, takes pride in being highly organised and enjoys building positive relationships with clients, colleagues and contractors.
Key Responsibilities
Office Administration
· Supporting our Sales and Lettings teams with a wide range of administrative tasks.
· Coordinating appointments, managing diaries and overseeing the office key system.
· Preparing sales reports and assisting with new property instructions.
· Liaising with photographers, EPC assessors, floorplan providers and other suppliers to ensure properties are marketed to the highest standard.
· Keeping our property management software (Alto) and CRM systems accurate and up to date.
· Assisting with tenancy administration, referencing, compliance and move-ins.
· Coordinating maintenance appointments and communicating with landlords, tenants and contractors.
· Processing rental payments, supplier invoices and assisting with general bookkeeping and financial administration using Xero.
· Helping ensure we remain fully compliant with current property legislation.
· Looking for ways to improve processes and contribute to the continued success of the business.
The Ideal Candidate Will Have
- Previous administration experience, ideally within estate agency or property.
- Experience supporting sales, lettings or customer service teams.
- Excellent organisational skills with strong attention to detail.
- Outstanding communication skills, both written and verbal.
- A professional, friendly and confident manner.
- The ability to prioritise and manage multiple tasks in a busy environment.
- Strong IT skills and confidence using Microsoft Office and CRM/property software.
- A proactive, reliable and positive attitude with a willingness to learn.
- A genuine commitment to delivering exceptional customer service.
- The legal right to work in the UK.

Working Hours
Part-time
· 3 days a week: 9.00am – 5.00pm
- One in four Saturdays: 9:00am – 1:00pm which can be taken in Lieu
- Flexible hours will be considered for the right candidate.
