As our business continues to grow, we are looking for a Defect Coordinator to join our operations team and take ownership of defect management across our portfolio.
This role would suit an organised, proactive individual who thrives in a fast-paced environment and enjoys problem solving and stakeholder communication.
The Role
The Defect Coordinator is responsible for managing building defects whilst in the defect liability period, managing from the initial identification through to successful completion and sign-off.
Acting as the central point of contact for clients, contractors and internal teams, you will ensure defects are investigated promptly, the appropriate contractors are engaged, progress is monitored and clear communication is maintained throughout the lifecycle of the issue.
You will take ownership of defects rather than simply administering them, ensuring accountability and driving issues through to resolution whilst maintaining excellent customer service.
Key Responsibilities
· Manage defects from initial notification through to completion and closure
· Review defect reports, snagging lists, contractor findings and client concerns to determine the most appropriate course of action
· Raise work orders and allocate works to approved supply chain partners
· Coordinate contractor attendance and ensure service level agreements and target completion dates are achieved
· Monitor progress of all open defects and proactively chase contractors to prevent delays
· Escalate issues where response times, quality standards or contractual obligations are not being met
· Maintain regular communication with clients, and operational teams, providing updates and managing expectations throughout the process
· Review engineer job reports to determine whether further remedial actions are required
· Identify recurring defects and trends and work collaboratively with operational teams to reduce repeat failures and improve service delivery
· Manage high-priority and business-critical defects, coordinating urgent responses to minimise operational disruption to clients and residents
· Ensure all documentation, photographs, reports and completion evidence are uploaded and maintained within CAFM systems
· Produce regular reports on defect volumes, ageing defects, contractor performance and service delivery metrics
· Support client meetings and operational reviews by providing updates on outstanding defects and remediation plans
About You
The successful candidate will have:
· Previous experience within Facilities Management, Property Management, Construction Aftercare, Maintenance Coordination or a similar operational environment
· Experience managing contractors and holding suppliers accountable for service delivery
· Strong organisational skills with the ability to manage a high volume of work across multiple sites
· Excellent communication skills and confidence dealing with clients, contractors and senior stakeholders
· Ability to prioritise effectively and remain calm under pressure
· Commercial awareness and the ability to balance cost, risk and service delivery
· Experience using CAFM systems and Microsoft Office packages
· A proactive mindset with a strong sense of ownership and accountability
