Role Purpose
The Marketing and Administration Assistant will support the delivery of SWR Mind’s marketing, communications, events and administrative activity.
The postholder will help promote SWR Mind’s services, campaigns and events through digital and printed communications, while providing practical administrative support to ensure activity runs smoothly.
This is an entry-level role suited to someone who is creative, organised and confident using digital systems. Previous experience in a similar role is not essential, but the postholder will need to be proactive, reliable and able to manage tasks independently following appropriate induction and guidance.
Key Responsibilities
Marketing and Communications
- Create flyers, posters, social media graphics and other promotional materials.
- Schedule and publish content across SWR Mind’s social media channels.
- Support marketing campaigns for services, fundraising, events and awareness activity.
- Draft newsletters, press releases, website content and other communications.
- Support the promotion of SWR Mind’s services, activities and events.
- Gather photographs, stories, quotes and other content that demonstrates the impact of SWR Mind’s work.
- Ensure communications are clear, accurate, accessible and consistent with SWR Mind’s branding.
- Support the monitoring and reporting of marketing and communications activity.
- Support the ongoing management and updating of the SWR Mind website.
Events Administration
- Monitor and respond to enquiries through shared inboxes.
- Manage event bookings and registrations.
- Maintain attendee lists and monitor sign-ups.
- Send booking confirmations, joining instructions, reminders and follow-up communications.
- Prepare event materials, including registers, information packs, signage and name badges.
- Support the practical delivery and promotion of events where required.
- Complete post-event administration, including attendance tracking and feedback.
- Support communication with attendees, venues, suppliers, volunteers and partner organisations.
General Administration
- Manage stocks of booklets, leaflets and information materials, including maintaining an accurate inventory.
- Coordinate reprinting, ordering and restocking as required.
- Maintain organised records relating to marketing, communications and events.
- Support the distribution of promotional and information materials.
- Assist the Administration Coordinator with general administrative duties where appropriate.
- Carry out other reasonable duties appropriate to the role.
General Responsibilities
- Work in accordance with SWR Mind’s policies and procedures, including safeguarding, confidentiality, data protection and equality, diversity and inclusion.
- Represent SWR Mind positively and professionally.
- Work collaboratively with colleagues, volunteers and external partners.

Person Specification
Essential
- Good organisational skills and the ability to manage a varied workload and meet deadlines.
- Strong written and verbal communication skills.
- Confidence using social media and digital platforms.
- The ability to create clear and engaging written and visual content.
- Good general IT skills and the confidence to learn new systems.
- Strong attention to detail and the ability to maintain accurate records.
- The ability to follow instructions, use initiative and complete tasks independently.
- A reliable, proactive and organised approach to work.
- A professional and approachable manner.
- The ability to work independently and as part of a small team.
- An understanding of confidentiality and data protection.
- A commitment to SWR Mind’s values and improving mental health and wellbeing.
Desirable
- Some experience of creating social media content, flyers, posters or other promotional materials, gained through employment, education, volunteering or personal projects.
- Some experience of administration, event organisation or supporting community activities.
- Familiarity with Canva, WordPress, Mailchimp or similar platforms.
- Experience of working or volunteering within a charity, community organisation or mental health setting.
Pay: £10.85-£12.71 per hour
