Full job description

The post-holder is a key member of the Capital Programme Team and will be responsible for providing a wide a range of administrative support to the Capital Programme Team . Duties will include the development of effective reporting information systems, management of office administration, assisting in the maintenance and supporting the continuance of high standards of professional practice throughout the team.

The post-holder will be required to assist with the planning and delivery of programmes and projects and to lead on specific project work packages in accordance with the Capital Programme requirements , as well as provide programme and project support to the team and to meet internal and external requirements.

The post-holder will be expected to exercise initiative, prioritise conflicting work demands and communicate effectively verbally and in writing with the multi-disciplinary team, internal departments and external agencies to ensure Quality, Efficiency and Performance Improvement which will achieve excellence in patient care. The post-holder will play a central role in the delivery and tracking of the portfolio of Programmes and Projects across the directorate on behalf of the Capital Programme Team .

To act as the first point of contact for the Capital Programme Team, dealing with all enquiries in a proactive manner, using judgement and proposing solutions for complex enquiries.

To manage incoming correspondence and electronic messages and respond on behalf of the Capital Programme Team appropriately; including dealing with restricted information which may be potentially contentious, sensitive, confidential issues relating to the Trust’s Quality, Efficiency and Performance Improvement agenda.

To produce reports, documents and presentations using an advanced level of IT skills, using packages including Word, Excel, MS project and PowerPoint and with the ability to interrogate databases as relevant to the Capital Programme Team.

To undertake effective diary management; scheduling and prioritising appointments; arranging regular and ad hoc meetings with internal and external stakeholders and making decisions on the basis of need whilst ensuring workload priorities and commitments are maintained.

To manage the work schedule efficiently, prioritising complex activities and demonstrating flexibility where required to ensure smooth running of the Capital Programme Team, working unsupervised.
