Administration Assistant

Location: Winchester
Salary: £16,000 per annum
Contract: Part time, 20 hours per week, Monday to Friday 08.30 - 12.30

About the Role

We are looking for a proactive, confidential and well-organised individual to provide administrative support to the Governance and Executive Support Lead, the Senior Leadership Team and Central Office colleagues. The post holder will support effective communication, meeting administration, office coordination and premises-related administration, helping Central Office run smoothly and professionally.

What You’ll Be Doing

Support the management of Central Office incoming calls, responding professionally and directing calls to the appropriate person or team.
Deal efficiently and accurately with written and email requests for information, monitoring enquiry emails and ensuring they are responded to, actioned or forwarded as appropriate.
Ensure visitors to Central Office are greeted professionally, sign in to the building, and are shown appropriate hospitality.
Provide support by taking and producing accurate minutes of Board and Committee meetings in the absence of the Governance and Executive Support Lead, as and when required.
Organise room bookings and refreshments, ensuring rooms, equipment and materials are set up as requested. Ensure refreshments are available at the start of meetings and replenished as necessary, and that meeting rooms are cleared and left tidy afterwards
Provide administrative support to members of the Senior Leadership Team as required, including diary coordination, meeting preparation, document formatting, action tracking and follow-up correspondence.
Support the Governance and Executive Support Lead with the preparation, formatting, collation and circulation of papers, reports and correspondence, ensuring documents are accurate, professionally presented and shared in a timely manner.
Maintain confidentiality and handle sensitive information appropriately when supporting senior leaders, trustees, colleagues, residents and external stakeholders.
Prioritise day-to-day administrative tasks in discussion with the Governance and Executive Support Lead, escalating competing demands or urgent issues where needed.
Maintain accurate administrative records, trackers and filing systems, ensuring information is stored securely and can be accessed by authorised colleagues when required.
Distribute incoming post and deliveries, and ensure outgoing post is processed in line with Central Office arrangements.

Key requirements:

Previous administrative support experience
Organisational and administrative skills
Experience of taking minutes and recording clear actions from meetings
Excellent communication skills, including a professional and helpful telephone manner
Highly organised and able to manage several tasks in a busy environment and meet deadlines
Proactive, reliable and collaborative team player, with the ability to work independently
Experience of office management and people management
Understanding of health and safety and fire safety regulations in an office environment
