Venue and Events Manager
Location: Beach Creative
Hours: 32 hours per week (Tuesday-Saturday)
Salary: £13.50-£14.50 per hour, depending on experience
Start Date: (Immediate start) Tuesday 14th July
Working Pattern: Office-based. Flexibility required to support evening and weekend events.
Job Share: This role can be job-shared by two part-time applicants.
About the Role
Beach Creative is seeking an organised, proactive and people-focused Venue and Events Manager to oversee the day-to-day operation of our busy creative venue. This varied role combines venue bookings, event coordination, administration, facilities management, volunteer coordination, and staff supervision.
The successful candidate will be the main point of contact for venue users, artists, tenants, volunteers, and stakeholders, ensuring the smooth running of the organisation while helping to deliver an excellent experience for visitors and hirers.
This is a varied role managing bookings, events, administration, facilities and volunteers within a busy creative arts venue. If you enjoy working with people, solving problems and keeping things running smoothly, we'd love to hear from you.
Key Responsibilities
Bookings and Events
- Manage venue bookings, enquiries and diary scheduling.
- Maintain and update the Beach Creative master diary and database.
- Conduct venue tours for prospective hirers.
- Prepare and issue room and gallery hire agreements and supporting documentation.
- Ensure hirers understand and comply with requirements, including DBS, Public Liability Insurance, Risk Assessments, stewarding, installation and take-down procedures.
- Process monthly invoices for regular room users through QuickBooks.
- Coordinate communication between event organisers and stakeholders.
- Assist with the planning, programming and delivery of events.
Administration
- Raise and track invoices and payments, following up on overdue accounts when necessary.
- Maintain accurate financial records relating to hires, deposits, sales and payments.
- Support tenancy administration, including lease management and tenant communications.
- Keep office records, databases and filing systems up to date.
- Assist with exhibition administration, including artwork intake and artist documentation.
- Attend Board Meetings and provide administrative support where required.
- Monitor staff annual leave records.
- Maintain records of Public Liability Insurance certificates and notify users of renewals.
- Act as Designated First Aider and support safeguarding procedures.
Facilities Management
- Liaise with external contractors and service providers.
- Ensure rooms are prepared for classes, workshops and events.
- Monitor and replenish venue supplies.
- Oversee the cleanliness and presentation of communal areas, including kitchens and toilets.
- Maintain noticeboards and venue information displays.
- Line-manage the Cleaner, Media Manager and Caretaker.
- Report maintenance, cleaning and building issues to the Board of Directors.
Communications and Front of House
- Act as a welcoming front-of-house presence for visitors and venue users.
- Serve as the main point of contact for volunteers, tenants, artists, hirers and stakeholders.
- Respond to public enquiries and direct queries appropriately.
- Manage complaint procedures for staff and users.
- Communicate operational issues and updates to Directors and the Board.
Exhibitions and Volunteer Coordination
- Coordinate and support exhibition volunteers.
- Prepare volunteer stewarding rotas.
- Liaise with the Caretaker to ensure volunteer access to the building when required.
- Work with exhibitors to ensure promotional materials are produced and distributed.
- Support gallery hires and exhibition planning.
- Encourage participation in Beach Creative's "7 Walls" exhibition programme and engage new artists.
About You
We are looking for someone who is:
- Highly organised and able to manage multiple priorities.
- An excellent communicator with strong interpersonal skills.
- Self-motivated and confident working independently.
- Experienced in administration, venue management, events, or a similar role.
- Comfortable using digital systems, databases and Microsoft Office/Google Workspace.
- Able to build positive relationships with artists, volunteers, tenants and the public.
- Flexible and willing to support occasional evening and weekend events.

About Beach Creative
Beach Creative CIC is a not-for-profit community arts organisation based in Herne Bay, Kent. Established in 2012, it operates as a Community Interest Company dedicated to supporting artists, creativity and cultural activity within the local community.
Located in Beach House on Beach Street, Beach Creative provides gallery spaces, studios and workshop areas where artists, makers and community groups can create, exhibit and share their work. The venue hosts a year-round programme of exhibitions, creative workshops, courses and cultural events that are open and accessible to everyone.
Beach Creative is a welcoming creative hub where people can try new things, develop skills, meet others and take part in artistic activities regardless of experience or background.
