The Purchasing Officer supports the purchasing function by ensuring products are sourced, ordered, and delivered in line with business and customer requirements. Working closely with the Purchasing Manager, Senior Purchasing Officer, suppliers, and other internal departments, the role involves maintaining accurate records within buying and ERP systems, raising purchase orders, support the purchasing team in sourcing and selecting products that meet customer and business requirements, and supporting supplier relationships.

In this role you will be required to:
· Order processing/amendments (standard/factored), for both general and special stock purchase requisitions. This also includes any operational or consumable orders for the business. This may include requesting further information from suppliers/sales to accommodate ethe order prior to being placed.
· Understanding the RFQ process, logging RFQS from sales, sending out for quotation up to 5T and responding to sales.
· Creating any general stock purchase requisitions from the recommendations, supported by the SPO/PM.
· Checking/signing/saving order acknowledgements and updating the system accordingly.
· Running the order acknowledgement report and chasing any outstandings – weekly.
· Dealing with any supplier related queries to any outstanding orders/order acknowledgements.
· Assisting with any supplier, expediting, updating the system with dates, comments, quantities and updating the none allocated if required.
· Understanding supplier lead times and preparing the report to go to sales with the relevant information - bi-weekly.
· Understanding surcharges, sending the relevant information to our accounts, preparing/issuing the report to go to sales with the relevant information - monthly.
· Refreshing the Opportunity Stock report and issuing it out to the relevant departments – daily.
· Supporting the SPO with the expediting of any purchase orders/trucks/deliveries.
· Understanding commodity codes, processing of custom clearances, and liaising with our freight forwarders.
· Supporting other internal departments with any requests, such as certs/delivery notes etc.
Person Specification:
Specialist/Technical
- Experience of working in a busy administrative role where the focus is on delivering high levels of customer service.
- Experience of working in a fast-paced environment with KPIs/targets to achieve.
- Committed to meeting customer need.
Administrative/Organisational
- Ability to deal with a variety of daily issues and prioritise own work.
- Methodical with high attention to detail and accuracy.
- Sets high standards for self.
- PC literate with good knowledge of MS Office
Communication
- Strong and confident communication skills both orally and in writing.
- Ability to build strong relationships with people to support successful collaboration.
- Responds positively to change and can adapt quickly.
General
- Professional, knowledgeable and credible.
- Self-starter with a ‘can do’ attitude willing to be flexible and committed to continual self- improvement and learning.
