Full job description

Overview
We’re looking for a proactive and customer-focused Maintenance Advisor to join our friendly Head Office team in Kent. This is a fantastic opportunity for someone who enjoys a varied workload, thrives in a fast-paced environment, and takes pride in delivering exceptional service to clients.

At ECMS, we provide facilities and maintenance services to a broad range of commercial clients. As part of our Helpdesk/Operations function, you’ll play a key role in coordinating enquiries, supporting planned and reactive works, and ensuring our clients receive a seamless experience from start to finish.

The ideal candidate will need:

What We’re Looking For

We’re open-minded on background. However, the ideal candidate will have:

Excellent written and verbal communication skills
Experience supporting clients or working in a busy office environment (preferred but not essential)
Confidence using Microsoft Outlook, Word & Excel, and a willingness to learn CRM systems
Strong organisational skills with the ability to prioritise competing tasks
A flexible, positive, “can-do” attitude with the ability to work under pressure
Experience in a similar maintenance/helpdesk role OR knowledge of Simpro is a bonus, but full training is provided
Able to work well under pressure, use initiative and work to deadlines.

Key responsibilities to include, but are not limited to:

· Managing client enquiries and expectations to a high standard

· Preparing quotes and supporting Account Managers with ongoing requests

· Coordinating internal engineers and subcontractors for both reactive and planned works

· Raising purchase orders, hiring equipment/materials, and following internal ordering processes

· Maintaining accurate records in the CRM and ensuring compliance documentation is in place

· Assisting with permits to work, RAMS, and other maintenance compliance requirements

· Collating documentation for quoting, invoicing, and client communication

· Working to client SLAs, achieving KPIs, and contributing to positive client feedback

· Use a range of office software including Word, Excel and our CRM system.
