Location of position: Shotton Mill, Deeside Hours: 3 days per week, 7:30am – 4:00pm (actual days to be agreed but must include Monday) Contract: Temporary (6 months+) Overtime: Additional hours may be available on the remaining 2 days, subject to site requirements
We are seeking an organised and proactive Admin Assistant / Document Controller to provide administrative and document control support on a busy Construction project based at Shotton Mill.
This temporary position would ideally suit someone located within close proximity to the site and who enjoys working as part of a project team in a fast-paced construction site environment.
Key Responsibilities
· Coordinating project documentation through the client's document control system (M-Files)
· Liaising with the Site Management Team, Commercial Team, CEO and QS Team to obtain and manage project documentation, including drawings, compensation events, MAFs and other correspondence
· Submitting documentation and monitoring approval and submission statuses
· Maintaining document trackers and records
· Using Procore project management software to record:
o Meeting minutes
o Drawing revisions
o Site diaries
o Project information as required
· Printing and preparing project documentation as required, including:
o Drawings
o Specifications
o Programmes
o COSHH assessments and SDS sheets
o Toolbox talks
o Other as required....
· Collating and submitting weekly project work packs
· Preparing meeting rooms and areas before and after site meetings
· Ensuring refreshments facilities are maintained
· Supporting video conferencing and connectivity
· Making delivery requests through the principal contractor portal (InnDex)
· Requesting visitor access and arranging site inductions in accordance with site procedures
· Submitting RAMS and other H&S documentation for principal contractor approval
· Maintaining high standards of housekeeping within the office and meeting areas
· Providing general administrative support to the Site Management Team, CEO, and QS Team as required
About You
· Strong organisational and administrative skills
· Good attention to detail and ability to manage multiple tasks
· Confident communicator with a professional approach
· Confident in working in a fast-paced environment
· Ability to prioritise tasks and meet deadlines
· Proficient in Microsoft Office applications
· Ability to work independently and as part of a team
· Reliable with good time-keeping & punctuality
· Previous administration or document control experience
· Overview of Health & Safety regulations in a Construction environment is an advantage
Training
Full training will be provided on all software platforms, including M-Files, Procore, and InnDex.
