White & White London Contracts Ltd is an interior fit-out specialist. We are a family run business that has been established since 2013.

Job Overview

We are looking for a reliable and organised Office Assistance to provide support across all departments including Management, Accounts and Purchasing. This is a varied role that requires someone who is highly organised, computer literate and comfortable working to deadlines with a proactive attitude.

35 hours per week, Monday to Friday, 8.30am – 4.30pm
12 month Fixed Term Contract

Responsibilities

Providing day-to-day business and administrative support to Management, Accounts and all Departments.
Processing sales and purchase invoices
Supporting the Direction with Ad hoc duties
Answering the phone, taking messages and dealing with mail
Typing, data entry, filing, scanning and shredding
Greeting clients / organising refreshments for clients and visitors
Managing travel arrangements, meetings, bookings and office administration.
Working with spreadsheets, databases and online portals (such as construction software)
Health and Safety Administration and O&M Manuals
Assisting with ordering/purchasing consumables and stationery including raising purchase orders.
Stock Management
Arranging deliveries

What we are looking for

Excellent attention to detail
Ability to prioritise, manage time and work well under pressure
Good written communication skills
Calm and helpful attitude
Ability to multi-task
Computer literate. Proficient in Word, Excel, Microsoft Outlook.
Strong administration and organisational skills
Good computer literacy, including Microsoft Office
Ability to prioritise tasks and manage deadlines
High attention to detail
Clear written and verbal communication skills
Confidence working with documents, forms and online portals
Ability to work independently and as part of a team

Preferable but not a must

Administration experience
Sage 50
