Haystack Cafe is a growing brunch, coffee and hospitality brand based in South Wales, with sites across Swansea, Cardiff and Merthyr Tydfil.
We’re looking for a highly organised, creative and switched-on Marketing & Executive Assistant to work closely with the founder across content, marketing, organisation, communication, ideas and the day-to-day running of a modern hospitality brand.
This is not a standard assistant role.
You’ll be close to the real moving parts of Haystack: content shoots, systems, meetings, customer experience, social media, marketing ideas, projects, operations and the hundreds of small details that help keep a fast-moving business running properly.
One minute you could be helping organise a campaign or editing a menu. The next you might be helping structure ideas, manage projects, organise schedules, improve systems or assist with the rollout of something new across the business.
We’re looking for someone calm under pressure, naturally organised, creative-minded and hungry to learn.
Someone who notices details.
Someone who enjoys keeping things moving.
Someone who understands modern culture, branding and how people interact with businesses online — especially through Instagram, TikTok and hospitality.
This role has genuine long-term growth potential.
For the right person, this could eventually develop into a larger role across brand, marketing, operations or a Chief of Staff-style position within the company as Haystack continues to grow.
What You’ll Be Doing
- Supporting marketing ideas, campaigns and content planning
- Assisting with Instagram, TikTok, email updates and local promotions
- Editing written content, menus, adverts, social posts and internal documents
- Helping organise projects, tasks, meetings, notes and business plans
- PA support for the founder including diary management, messages, bookings and follow-ups
- Keeping systems, files and information organised
- Helping improve communication and internal organisation
- Liaising with team members, suppliers and customers when needed
- Supporting the day-to-day running of a growing multi-site hospitality business
- Taking on more responsibility as the role develops

- Comfortable using computers and learning new systems quickly

- Able to work closely with the founder and adapt in a fast-moving environment
- Confident enough to bring ideas, humble enough to learn
- Ambitious and excited by growth
Experience in admin, PA work, marketing, hospitality, content or business support is helpful — but attitude, organisation and willingness to learn matter most.
