Event Coordinator (Freelance) - mentorhero
Next event: 1st July 2026 | Ongoing contract
About mentorhero
mentorhero is a global career access network connecting students, job seekers and professionals with industry mentors through structured micro-mentoring sessions. Our mentorhero Academy is an in-person session delivered directly at a partner's office, bringing mentors, mentees and corporate teams together in a high-energy, well-run event that reflects the quality of our brand.
The Role
We're looking for an experienced freelance Event Coordinator to join us as a long-term delivery partner across our mentorhero Academy events. This isn't a junior role, we need someone who has done this before and can be trusted to own the operational side of the day, allowing our team to focus on hosting and content.
What you'll be doing
- Attending a pre-event briefing call with the mentorhero team ahead of each Academy
- Arriving early to set up the venue: room layout, AV, signage, materials and registration
- Managing the flow of the day on-site, keeping things on time and running smoothly
- Coordinating with the partner's internal team (PA, facilities, reception)
- Supporting attendee registration and the room during the session
- Managing the close of the event: pack-down, materials retrieval, any follow-up logistics
- Being the calm, competent operational presence so nothing falls through the cracks
What we're looking for
- Proven experience running corporate or professional events, ideally in an agency, startup or professional services environment
- Senior enough to take full ownership without being hand-held
- Confident communicating with senior stakeholders (our partners are large corporates)
- Highly organised, detail-oriented and reliable
- London-based (our events take place at partner offices across the city)
- Available for the 1st July event and interested in a longer-term working relationship
Commitment
Each Academy is approximately one hour in session, with additional time for setup, briefing calls and close-of-day. We're building a pipeline of Academy partners and want someone we can rely on consistently, this is a long-term freelance arrangement, not a one-off.
Pay: £200.00-£300.00 per day
Work Location: Hybrid remote in London
