The Project Officer supports the effective delivery of capital projects across Jersey Water’s estates and infrastructure portfolio by providing organised, accurate and timely project administration, data collation and reporting support. Working under the direction of the Project Manager, the role helps maintain project information, track progress, coordinate documentation and support project controls across scope, programme, cost, risk, actions and governance requirements.
Reporting to the Project Manager, the postholder supports the Capital Delivery function by ensuring project information is well organised, accurately recorded and reported in a clear and timely way. The role provides junior project support and is intended to help the postholder build confidence, experience and capability in project management, project governance, stakeholder coordination and financial monitoring over time.

Support the Project Manager and Capital Delivery function with day-to-day project administration, coordination and reporting.
- Maintain project records, trackers, action logs, risk and issue logs, decision records and project documentation so information is accurate, current and easy to access.
- Collate project data from internal teams, consultants, contractors and suppliers to support progress reporting, milestone tracking and management updates.
- Prepare draft project reports, dashboards, briefing notes and progress updates for review by the Project Manager.
- Support high-level budget administration, including maintaining cost trackers, collating purchase order and invoice information, supporting forecast updates and highlighting variances for review.
- Help coordinate meetings, prepare agendas, record actions and follow up agreed tasks to support timely project progress.
- Support project governance by helping prepare stage gate information, approval records, document packs and close-out information in line with agreed processes.
- Assist with procurement and contract administration activities by maintaining records, coordinating information and supporting supplier communications within agreed processes and delegations.
- Help identify missing information, overdue actions, emerging risks or reporting gaps and escalate these to the Project Manager.
- Support project handover, lessons learned and close-out activities by collating documentation and ensuring records are complete.

Strong organisational and administrative skills, with the ability to maintain accurate records, coordinate information and support multiple project activities at the same time.
- An interest in capital delivery, infrastructure, estates or operational projects, with a willingness to learn how projects are planned, governed, delivered and closed out.
- Ability to collate project data, update trackers, maintain action logs and support clear reporting on progress, risks, issues, milestones and decisions.
- Good attention to detail and the discipline to follow agreed project processes, document control requirements, governance arrangements and delegated authorities.
- Good communication skills, with the confidence to work with colleagues, suppliers and stakeholders to obtain information, follow up actions and support project coordination.
- A basic understanding of budgets, costs or financial information, with the ability to support high-level budget tracking, purchase order information, forecast updates and cost reporting.
- Confidence using Microsoft Office and project support tools, with the ability to develop capability in project trackers, reporting dashboards, document management platforms and planning tools.
- A proactive approach to learning and development, with a willingness to build project management knowledge and work towards relevant training or qualifications over time
After completion of the probation period:
- Pension – Membership of the defined contribution scheme. Jersey Water pays 5% up to 5 years’ service and then 10%, employees pay 5%. A matching scheme is available whereby Jersey Water matches additional voluntary contributions up to a maximum of 5%.
