REPORTING
The role will report to the Facilities and Building Operations Manager
ROLE OVERVIEW
This is a hands-on role and plays a key part in creating and maintaining a safe, efficient, and welcoming working environment for both employees and clients. The successful candidate will be expected to actively support day-to-day maintenance across multiple sites. The candidate should also demonstrate strong administrative capabilities, with experience in maintaining accurate records and documentation. This includes carrying out and logging routine compliance checks such as monthly emergency lighting tests, water temperature monitoring, and weekly fire alarm testing.
Excellent communication skills are essential, with the ability to liaise effectively with internal teams, external contractors, and stakeholders at all levels.
Due to the nature of the work, there will be occasions where out‑of‑hours or weekend support is required to meet operational needs.
This is a varied role with multiple key areas of responsibility. Having a can-do attitude and proactive mentality is a must. You will be the person on the ground and the day to day face of the facilities department. When the studios are busy, the role is very reactive. On quieter days will be the time to be more proactive and tackle projects and outstanding maintenance. No job is too small, and you must be willing to get involved in all areas and help out where ever needed.
Having practical experience in carrying out general building maintenance tasks would be a major advantage. This will include plumbing, painting and decorating, basic carpentry, and minor electrical work.
Hours of work will be 7am - 4pm, with flexibility needed as required.
KEY RESPONSIBILITIES
- Under the direction of the Facilities and Building Operations Manager, coordinate or carry out (minor or major) maintenance or repairs, engaging 3rd party contractors where appropriate, ensuring minimal disruption to clients or building operations.
- Supporting the Facilities and Building Operations Manager with administration tasks
- Promote good H&S practice and risk management across the business
- Proactively update all relevant departments on upcoming or ongoing issues
- Liaise with and coordinate/supervise 3rd party contractors whilst on site
- Ensure safe working practices are maintained at all times
- Responding appropriately to urgent issues as they arise and managing effectively
- Proactively audit all sites to identify and seek to resolve potential defects or problems, reporting back to the Facilities and Building Operations Manager for support
- Carry out daily building walks and indepth weekly building inspections, recording findings and reporting to the Facilities and Building Operations Manager if necessary.
- Support HSEQCoordinator ensuring all employees and sites meet H&S requirements that comply with legislation.
- Ordering and maintaining facilities stock - including lightbulbs, tools and other facilities related consumables.
- Coordinating all waste, which includes but is not limited to waste collection, PEST control and skip hire
- In event of an emergency situation, ensure all safety processes have been followed, provide immediate assistance as required, and carry out thorough reporting afterwards.
- Maintain accurate records of incidents, inspections, maintenance activities, and service reports.
- Other duties as necessary based on the changing needs of the business.
SKILLS
- A multi-skilled background with experience in facilities management, contractor management, project management or building management in specific or related industries
- Hands on maintenance experience would be a major advantage - plumbing, painting and decorating, carpentry and minor electrical works
- Reliability to commute to premises (North/ Central London)
- Proactive and positive attitude
- Excellent people skills - interacting with employees and clients of all levels across the business
- Excellent communication skills, written and oral
- Excellent numeracy skills and reasoning
- Extremely good eye for detail
- Strong team player
- Recognised qualifications in: IWFM, IOSH or NEBOSH, H&S and First Aid
