Full job description

Rossdales Veterinary Surgeons are seeking to appoint a secretary to join our dedicated and professional team working within the Equine Hospital and Diagnostic Centre, based in Exning.

This is a full-time role working 37.5 hours per week, Monday to Friday, between the hours of 7.30am to 5.30pm. The role will include the occasional Saturday morning and bank holiday, which will be paid as overtime.

The role will suit a reliable and highly motivated individual with outstanding attention to detail who is looking for a rewarding and challenging position.

Applicants should have:

· Previous secretarial experience, and knowledge of the equine horse world;

· Excellent client management skills;

· A high level of accuracy;

· The ability to remain calm under pressure;

· Teamwork skills; and

· Competence with IT and/or practice management systems.

The main aspects of this role include (but are not limited to):

Providing excellent customer service, which can be face to face, by phone, email and/or letter.
Typing (audio) clinical reports and general correspondence.
Proof reading clinical reports – checking accuracy and grammar.
Maintaining client records using the practice management software, ensuring all client information is correct and data is inputted accurately.
Dealing with general enquiries and taking messages, passing on to the appropriate person in a timely manner.
Answering the telephone, to handle a wide range of queries including routine and more detailed calls, including emergencies.
Responding to client queries and relaying detailed information on to the appropriate recipient.
Booking in patients and dealing with clients’ queries; where advice is required, pass on to the appropriate person.
Ensuring appointment diary is kept up to date.
Dealing with insurance claim forms, assisting clients where necessary, processing and following up queries relating to claims.
Office administration and housekeeping, including assisting with stationery orders and restocking, photocopier maintenance and related ordering, etc.
Opening post and allocating accordingly, stamping invoices with date received, etc. Sorting internal mail and any outgoing post.
Maintaining the filing system, ensuring all records are correctly filed.
Assisting the Clinical Services Manager and Clinical Directors to ensure the practice is maintained in a clean and tidy manner, to include reception and waiting areas.
Meeting and greeting clients, visitors, deliveries, staff from other sites etc. who come to Rossdales.
Any other duties reasonably requested by the Practice.
