Hours of Work: 38.5 Hours Per Week, Monday-Thursday 9am-5.30pm & Friday, 9am-4.00pm.
Job Type: Fixed Term Contract (12 Months).
Job Summary:
The HR Administrator is a key part of the HR Team supporting the delivery of the People Pillar within the organisational goals. The successful candidate will have a varied role supporting across all key strategic goals of the people pillar including assisting with with recruitment activities such as posting vacancies and scheduling interviews, maintaining employee records, updating HR databases and systems gaining experience across both a Time and Attendance System and SAP- SuccessFactors, building relationships by responding to employee queries, supporting employee engagement initiatives and being an active leader in promoting employee wellbeing and a positive workplace culture aligned to Frylite Solutions values and behaviours.
Key Job Duties & Responsibilities:
- Assist with the recruitment process, including posting job advertisements, reviewing CVs, shortlisting candidates, and scheduling interviews.
- Maintain accurate and up-to-date employee files ensuring compliance with data protection.
- Maintain and update HR databases and systems (SAP- SuccessFactors and NTD), ensuring employee information is accurate and current at all times.
- Respond to employee inquiries in a timely and professional manner.
- Support and assist with employee engagement and wellbeing initiatives, including internal communications, coordinating events, and wellbeing activities structured around the organisation’s wellbeing calendar.
- Be an active member of the IBEC KeepWell Accreditation project team ensuring wellbeing criteria is met across key wellbeing pillars.
- Administer onboarding and offboarding processes, including preparation of documentation, payroll communication and supporting the process of welcoming a new employee to Frylite.
- Prepare employment contracts, confirmation letters, and other HR-related documentation.
- Generate and maintain HR reports, including Weekly and Monthly Dashboards, Holiday Overtime reports, Absence Management reports, SAP reporting, and other ad hoc reports as required.
- Assist with payroll administration by collecting, verifying, and submitting accurate payroll data.
- Manage the Fair Employment Monitoring process under NI Legislation.
- Administer BHSF/HSF company health cash plans, including employee enrolment, updates, and responding to related queries.
- Monitor and manage probation tracking, ensuring timely reviews and confirmation processes are completed by liaising with Line Managers.
- Create HR-related communications materials, including posters, announcements, and employee engagement content and sharing using various channels such as MS Teams, SharePoint, email, QR Codes etc.
Essential Criteria:
- Previous experience in a HR administration role or seeking a placement opportunity as part of a HR degree.
- Strong attention to detail and organisational skills with the ability to multitask.
- Excellent communication skills: both written and verbal.
- Proficient user of the MS Suite primarily Word, Outlook and Excel.
- Be self-motivated to bring ideas, enthusiasm and a real interest in Human Resources to the Team.

- Understand the importance of maintaining professionalism and confidentiality within a HR team.
Desirable Criteria:
- Have an interest in HR Systems/keen willingness to learn how to use HR Systems and be confident in doing so.
- Have already commenced or are planning to commence CIPD qualification, Level 3 or above.
