About the Role
We are seeking a highly organized and proactive Supply Chain & Procurement Coordinator to support the day-to-day management of our supply chain and procurement activities on a part-time basis.
You will play a key role in ensuring that components and outsourced manufacturing services are ordered, tracked, and managed efficiently. This is a hands-on coordination role focused on execution, supplier communication, administration, and maintaining accurate supply chain information.
This position would suit someone with previous experience in procurement, supply chain, purchasing, production planning, or operations coordination who is looking for a varied role within a growing technology manufacturing business.
Key Responsibilities
Procurement & Purchasing
- Manage purchase orders for both components and services.
- Manage a range of payment terms across suppliers.
- Monitor supplier lead times and delivery schedules.
- Track outstanding orders and proactively follow up on delayed deliveries.
- Maintain accurate purchasing records and supplier information.
- Obtain quotations and pricing information from suppliers.
- Process supplier invoices and ensure payments are made on time.
- Support cost analysis and pricing reviews.
Inventory & Stock Management
- Maintain accurate stock records and purchasing data.
- Assist with inventory audits and stock accuracy initiatives.
- Help ensure material availability to support production schedules.
Supplier Management
- Act as a day-to-day point of contact for suppliers.
- Build and maintain positive working relationships with suppliers.
- Coordinate supplier communications regarding orders, lead times, quality issues, and delivery performance.
- Support supplier onboarding and documentation activities.
Outsourced Manufacturing Coordination
- Coordinate work with external production partners.
- Track outsourced manufacturing orders and progress.
- Ensure materials, documentation, and schedules are communicated effectively to suppliers.
- Monitor delivery commitments and escalate issues where required.
Logistics & Shipping
- Liaise with couriers and sea freight partners to arrange, confirm, and track shipments
- Coordinate stock transfers between manufacturing partners, ensuring the right components/materials arrive at the right location at the right time
- Monitor shipment progress and flag any delays that could impact production timelines
- Maintain accurate shipping and freight documentation for customs and record-keeping purposes
- Resolve routine shipping issues directly with couriers/freight partners, escalating anything complex or costly to the Operations & Projects Manager
Administration & Reporting
- Maintain accurate procurement, supplier, and inventory records.
- Work closely with the Operations Manager and raise potential changes or concerns.
- Support improvement initiatives across procurement and supply chain processes.
- Assist with general operational and administrative activities as required.
Additional Duties
- Organise and maintain the stock room, including supplier documentation and PO record-keeping
- Provide back-up support with product assembly as needed.
About You
Essential
- Previous experience in a procurement, purchasing, supply chain, operations, or production coordination role.
- Strong organisational skills and attention to detail.
- Excellent communication skills and confidence dealing with suppliers.
- Good commercial awareness and numerical ability.
- Comfortable using common office software (email, spreadsheets, etc.) and confident picking up new business systems as needed.
- Ability to manage multiple priorities and follow tasks through to completion.
- A proactive and solutions-focused approach.
Desirable
- Experience within manufacturing, electronics, or technology businesses.
- Experience working with ERP, MRP, or inventory management systems.
- Understanding of inventory control and production planning principles.
- Experience coordinating outsourced manufacturing or subcontract suppliers.
What We're Looking For
This role is ideal for someone who enjoys organising, coordinating, and keeping things running smoothly. You will be trusted to manage the day-to-day execution of procurement and supply chain activities while working closely with the Operations Manager, who will retain overall responsibility for supplier selection, purchasing strategy, and operational decision-making.
