Job Summary
To manage and coordinate the end-to-end commercial and financial administration of assigned contracts and departmental projects, ensuring timely and accurate client applications, effective cash flow management, and successful completion of final accounts. The role supports financial performance by maintaining robust forecasting, monitoring project expenditure, ensuring contractual compliance (including NEC requirements), and collaborating with internal teams, subcontractors, and clients to optimise cash flow, resolve payment issues, and achieve successful project outcomes.
Responsibilities
Manage Client Applications for Payment Across Assigned Contracts
- Prepare and collate client applications for payment across allocated contracts.
- Ensure all live projects under each contract submit applications in accordance with contractual requirements and deadlines.
- Monitor and achieve key client payment and submission dates.
- Maintain consistency and accuracy in documentation and presentation across all departments.
- Liaise with Contracts Managers and Project Managers to obtain progress updates and supporting information.
- Monitor applications against project spend and forecasted values.
- Liaise with clients regarding application reductions, queries, or rejections and resolve discrepancies where possible.
- Chase payment certificates, update internal trackers, and provide status reports to both internal and external stakeholders.
- Ensure accurate forecasting is maintained internally, including correct allocation of application values to the expected payment certification period (including NEC contract requirements).
Manage Departmental Project Cash Flow
- Monitor and manage project cash flow across a set department, ensuring invoices, completed works, and applications align accurately.
- Liaise with the departments Contracts Managers, Project Managers, and subcontractors to support effective cost management from project commencement through to completion.
- Review and approve the departments subcontractor invoices against measured and completed works.
- Prepare and collate client applications for payment for the department.
- Assist the department with procurement and purchasing decisions to ensure expenditure is incurred at the most cost-effective time and supports cash flow management.
Manage Departmental Final Accounts
- Manage and monitor final account processes for subcontractors and clients.
- Ensure all required completion and handover documentation is received before agreeing or approving subcontractor final accounts.
- Ensure all completion documentation has been issued to the client prior to submission of final account applications.
Support the timely agreement and closure of final accounts in line with contractual obligations
Qualifications & Experience
· HNC/HND, Degree, or equivalent in Quantity Surveying, Commercial Management, Construction Management, Finance, or a related discipline is desired but not essential.
· Minimum 3 years’ experience in a commercial, quantity surveying sector, project finance, or contract administration role within construction, infrastructure, or engineering environments.
· Experience preparing client applications for payment, managing cash flow, subcontractor valuations, and final accounts.
· Working knowledge of NEC contracts and contractual payment processes.
· Strong financial and commercial awareness with experience in forecasting and cost control.
· Advanced Microsoft Excel and strong IT/system skills.
· Excellent communication, organisation, and stakeholder management skills.
· Excellent written and verbal communication skills.
