About the role
Maxro Management Ltd is a family owned business looking for a Facilities & Maintenance Coordinator to join our small team.
We are developing an existing area of our business into a more structured facilities management and maintenance service, predominantly supporting commercial properties. We already have established clients, contractors and employees working across these areas.
This is a varied role covering maintenance coordination, contractor management, scheduling, compliance administration and client communication.
We are looking for someone versatile who is comfortable taking responsibility, organising work and seeing tasks through from initial instruction to completion.
The position will involve a mixture of remote working, office working and occasional site visits. You will need to be adaptable and comfortable working across a range of different tasks.
Responsibilities
The role will include:
- Receiving and coordinating maintenance requests
- Scheduling planned and reactive maintenance
- Organising engineers, contractors and specialist service providers
- Communicating with clients, contractors and colleagues by telephone and email
- Obtaining and reviewing quotations
- Monitoring jobs from instruction through to completion
- Following up contractors and outstanding works
- Reviewing reports, photographs and evidence of completed works
- Maintaining maintenance and compliance records
- Managing contractor documentation, including insurance and health and safety information
- Assisting with planned preventative maintenance schedules
- Maintaining property and equipment asset registers
- Monitoring servicing, inspections and certification
- Helping organise statutory and routine compliance requirements
- Attending sites when required
- Assisting with general facilities and maintenance administration
- Occasionally assisting with urgent or out of hours maintenance issues
- Supporting other operational tasks within the business where required
Technology
We use technology across the business to help manage work efficiently and are looking for someone who is comfortable learning and using different systems.
This will include scheduling and maintenance software, digital forms, spreadsheets, document management systems, email and AI tools.
You do not need to be an IT specialist, but you should be confident using technology and willing to learn new systems.
We are also interested in someone who can identify better ways of doing things and help us improve processes as the facilities management operation develops.
Experience
Previous facilities management experience would be useful but is not essential if you have relevant transferable experience.
Experience in some of the following areas would be beneficial:
- Facilities or property management
- Maintenance coordination
- Contractor management
- Scheduling engineers or trades
- Health and safety
- Compliance administration
- Construction or building services
- Client management
- Helpdesk or maintenance desk operations
- Commercial property or hospitality maintenance
Training can be provided in areas where you have less experience.

A full UK driving licence is required.
Working arrangements
The role will involve a mixture of remote working, office working and occasional site visits, with the majority of sites located in and around London.
We can be flexible for the right candidate.
We are initially able to consider part time applicants, although we expect the position to develop into a full time role as the facilities management operation grows.
We can also consider someone starting on a full time basis where they have the experience and versatility to work across a wider range of responsibilities.
PAYE employment and self-employed arrangements can both be considered depending on the nature of the working arrangement.
Pay starts from £14.50 per hour and will vary depending on experience, responsibilities and working arrangement.
