Job Title – Finance & HR Assistant
Site Names and Locations – The Quadrant Shopping Centre, SA1 3QW
Working Hours – Hours per week 25 (hours can be either 5 hours per day Monday to Friday or 7 hours over 3 days + a 4 hour day)
Salary Band - £23,400 (equates to full time salary of £37,440)
Purpose of the Role
We are seeking a highly organised and proactive Finance & HR Assistant to support the day‑to‑day operations of our finance function and HR administration. This role is ideal for someone with strong attention to detail, excellent communication skills, and proven experience in a finance‑based position. You will work closely with both the Finance & HR Director to ensure smooth, accurate, and compliant processes across the business.
Key Responsibilities
Finance Duties
- Process daily finance tasks using Xero, including:
- Drafting and entering supplier bills
- Preparing and issuing monthly/quarterly/annual sales invoices for rent, service charge and insurance
- Managing service charge transactions
- Credit control
- Assist with the preparation of the weekly cashflow report
- Support month‑end processes as required
- Maintain accurate financial records and ensure timely data entry
- Liaise with suppliers, tenants and internal teams to resolve invoice or payment queries
HR Duties
- Maintain HR files, records, and databases in line with GDPR and company policies
- Monitoring sickness and return to work interviews
- Preparing offer letters and contracts
- Collecting right‑to‑work documentation
- Setting up employee records
- Processing leaver documentation and exit checklists
- Support general HR queries and assist with day‑to‑day HR issues
Skills, Knowledge and Experience
Candidates will be required to demonstrate the following:
Essential
- Minimum 3 years’ experience in a finance‑based office role
- Proficient user of Xero accounting software
- Strong Excel and Word experience
- Strong administrative and organisational skills
- High level of accuracy and attention to detail
- Ability to handle confidential information with discretion
- Excellent communication skills, both written and verbal
- Ability to prioritise workload and meet deadlines
Desirable
- Experience in HR administration is desirable but not essential if willing to learn
- The role ideally suits someone who has completed or is working towards AAT Level 2 Certificate in Accounting or similar

Assessment Requirement
Please note that all shortlisted candidates will be required to complete a 30‑minute on‑site test ahead of the interview stage.
- The test will take place at The Quadrant Shopping Centre, Swansea
- It will assess competency in Xero and Excel
- The assessment should take no longer than 30 minutes
