Summary
We are seeking a motivated and organised individual to join our operations team in an entry-level to junior administration role supporting our engineering department. This position is ideal for someone early in their career (or with some initial office experience) who is eager to develop within a technical and customer-focused environment.
You will play a key role in ensuring the smooth day-to-day coordination of customer service, spare parts, and field engineering activities, working closely with both the Engineering Manager and Spare Parts Manager.
Key Responsibilities
Customer Service & Communication
- Answer incoming phone calls and direct enquiries professionally
- Monitor shared inboxes and respond to customer queries in a timely manner
- Act as a first point of contact for service-related enquiries
- Maintain a positive and professional company image at all times
Sales & Administration Support
- Prepare customer quotations for service work and spare parts
- Process customer orders accurately and efficiently
- Raise internal documentation and maintain accurate records
- Assist in tracking ongoing jobs and customer requests
Engineering Support Coordination
- Prepare job packs and documentation for Field Service Engineers
- Coordinate spare parts and work requirements ahead of site visits
- Liaise with engineers to ensure they have the required information and materials
- Support scheduling and planning activities when required
Team Support & Cover
- Provide administrative support to both the Engineering Manager and Spare Parts Manager
- Occasionally cover key duties during staff absence (e.g. holidays, sickness)
- Assist with general office tasks where necessary
Skills & Experience
Essential:
- Strong organisational skills with attention to detail
- Confident communication skills (both phone and email)
- Good IT skills (Microsoft Office – Outlook, Excel, Word)
- Ability to prioritise tasks and work in a fast-paced environment
- Positive attitude and willingness to learn
Desirable:
- Previous experience in an office, admin, or customer service role
- Interest in engineering or technical environments
- Experience working with quotations or order processing systems
