Kerala Ayurveda Clinic is an established private healthcare clinic in Leicester with almost 20 years of experience. We provide physiotherapy, Ayurveda treatments, colon hydrotherapy, massage therapies, digestive health support, women's health services, blood testing and skincare services within a professional healthcare environment.
We are seeking an organised, reliable and proactive Clinic Coordinator to support the smooth day-to-day operation of our busy clinic.
This is a varied role combining reception, administration, patient enquiries, clinic organisation, social media support and operational duties. We are looking for someone who can work independently, take responsibility and maintain high standards throughout the clinic.
Main Responsibilities: Reception & Patient Support
- Answer incoming telephone calls professionally and efficiently
- Respond to enquiries by telephone, email, WhatsApp and online platforms
- Manage appointment bookings, cancellations and rescheduling
- Process payments, deposits and membership enquiries
- Ensure excellent customer service at all times
- Handle patient concerns and complaints professionally and appropriately
- Ensure appointments, patient records and payments are processed accurately
Administration
- Manage booking systems and patient records accurately
- Complete daily administrative tasks and clinic paperwork
- Maintain spreadsheets, reports, documents and clinic records
- Use Microsoft Word, Excel, email and online systems confidently
- Ensure consultation forms and clinic documentation remain organised and up to date
- Support management with administrative and operational projects as required
Social Media & Marketing Support
- Upload approved social media posts, stories, images and videos according to clinic guidelines
- Assist with Google Business Profile updates
- Support clinic promotions, seasonal campaigns and marketing activities
- Ensure approved content is posted consistently and on schedule
Clinic Operations
- Support daily opening and closing procedures
- Monitor stock levels and notify management when supplies require reordering
- Assist with inventory management and stock organisation
- Maintain organised reception, office and storage areas
- Ensure clinic procedures and systems are followed correctly
- Work closely with therapists and management to support the smooth running of the clinic
Standards, Compliance & Organisation
- Maintain high presentation, hygiene and organisational standards throughout the clinic
- Support health and safety procedures and clinic policies
- Report maintenance, equipment or operational issues promptly
- Maintain patient confidentiality and comply with GDPR and clinic policies at all times
Essential Requirements
- Minimum 2 years reception, administration or customer service experience
- Excellent spoken and written English
- Professional and confident telephone manner
- Strong organisational and time management skills
- Confident using Microsoft Word, Excel, email and online systems
- Strong attention to detail and accuracy
- Ability to multitask and prioritise workload effectively
- Ability to work independently and use initiative
- Professional appearance and manner
- Reliable, punctual and dependable
- Confident handling enquiries and complaints professionally
Desirable
- Previous experience within a healthcare, physiotherapy, dental, chiropractic, private medical, aesthetics or clinic environment
- Experience using Fresha or similar booking systems
- Experience with social media posting and content scheduling
- Knowledge of healthcare administration and clinic operations
