Summary
'We are seeking a highly organised, process-driven and customer-focused Small Works (M&E) Co-ordinator to support the delivery of mechanical and electrical small works projects across our client portfolio.
Working within a structured team environment alongside Technical Project Managers and the Senior Business Unit Manager, the role is responsible for coordinating the end-to-end administrative and operational processes associated with small works delivery.
The successful candidate will thrive in a fast-paced environment, be proactive in their approach, and demonstrate strong customer service skills when managing both internal and external stakeholders. This role requires someone who can effectively prioritise workloads, maintain attention to detail under pressure, and ensure projects are delivered efficiently, accurately and professionally.
This role would suit an individual with strong organisational skills and experience working within facilities management, engineering or construction environments.
Responsibilities
Project & Workflow Coordination
- Support the coordination and administration of multiple M&E small works projects simultaneously within a fast-paced operational environment.
- Assist Technical Project Managers with project mobilisation, scheduling and ongoing tracking of works.
- Ensure all project documentation is accurately maintained and updated within internal systems.
- Monitor project progress against deadlines and proactively escalate delays, risks or issues where required.
- Coordinate engineer attendance, subcontractor scheduling and material delivery requirements.
- Raise, manage and track subcontractor work orders to ensure timely delivery and completion of works.
- Support quotation, purchase order and invoicing processes in line with company procedures.
- Assist Project Managers with the preparation and processing of invoicing for completed works.
- Support with the preparation of small quotations, uplifts and variations as required.
- Maintain accurate project trackers and ensure actions are followed through to completion.
CAFM & System Management
- Ensure careful, accurate and precise maintenance of the Simpro CAFM system across all live and completed projects.
- Maintain up-to-date records including job statuses, costs, documentation, subcontractor details and project updates within Simpro.
- Ensure all project-related information is entered correctly and consistently to support operational reporting and invoicing accuracy.
- Support process compliance through effective system management and document control.
- Assist with reporting, workflow tracking and system administration tasks as required.
Customer Service & Communication
- Deliver a high level of customer service to clients, subcontractors and internal stakeholders.
- Act as a central point of coordination and communication throughout the lifecycle of projects.
- Respond promptly and professionally to client queries, updates and requests.
- Build positive working relationships with both clients and operational teams.
- Provide regular project updates to Technical Project Managers and Senior Management.
- Ensure communication remains clear, proactive and solutions-focused at all times.
Process & Compliance Management
- Ensure all projects follow internal operational processes and governance procedures.
- Maintain accurate records for project compliance documentation including RAMS, permits, certifications and O&M information.
- Support the completion and collation of handover documentation upon project completion.
- Assist in maintaining KPI reporting and workflow management systems.
- Ensure consistent document control and version management across all live projects.
Commercial & Operational Support
- Support with supplier and subcontractor coordination.
- Assist with tracking project costs, variations and operational updates.
- Help ensure projects are delivered within agreed timelines and budgets.
- Support the wider Small Works Business Unit with operational and administrative tasks as required.
- Identify opportunities to improve processes, communication and operational efficiency.
Skills & Experience Required
Essential
- Previous experience within Facilities Management, M&E, Construction or Small Works coordination.
- Strong customer service and stakeholder management skills.
- Experience working within a fast-paced operational environment.
- Highly organised with strong administrative and coordination abilities.
- Process-driven with excellent attention to detail and accuracy.
- Proactive approach with the ability to manage and prioritise multiple tasks simultaneously.
- Experience managing work orders, invoicing administration and project coordination processes.
- Strong communication skills, both written and verbal.
- Good working knowledge of Microsoft Office packages.
- Experience using CAFM, project management or job management systems.
- Ability to work effectively within a structured team environment.
Desirable
- Experience working within an engineering or technical projects environment.
- Understanding of M&E terminology and small works delivery processes.
- Experience using Simpro or similar CAFM/project management platforms.
- Knowledge of compliance documentation and project handover processes.
- Experience supporting quotations, cost uplifts and variation processes.

Pay: £28,000.00-£30,000.00 per year
