Full job description

Overview

We're a B2B sales agency, we're growing fast, and the team is brilliant. The bottleneck is everything that sits around them.

Here's a real Tuesday: the invoices haven't gone out, the leaderboard needs updating & someone's headset won't pair and it eats twenty minutes of a sales day. All of it matters & every single piece of it currently lands on the Founder, which means it competes with winning clients and hiring people - and usually loses.

This role is the glue. You'd hold the day-to-day together so the rest of us can get on with selling. Not just working through a set task list - you'd be owning it, spotting the things nobody's thought of yet, and building a system around it so the same problem doesn't come back next week.

What it's like here

We're a small team who genuinely like each other. You'll join us for 3-4 days a week, we're mostly on the phones, with a leaderboard on the wall that people care about more than they'd admit. It's fast and a bit noisy and occasionally chaotic. When something goes wrong we say so and fix it rather than tiptoeing round it. You'd be right in the middle of it - which is the point.

Responsibilities

1. Keeping the business moving

The operational rhythm. Daily leaderboard up, weekly client reports out, invoices raised, commission tracked, money chased. The stuff that has to happen every week without fail - and currently doesn't, because it's competing with client calls.

2. Protecting the Founder's time

The to-do list. Taking Hannah's to-do lists and turning it into something ordered and prioritised. Working out what's actually urgent, chasing the things that keep getting pushed, and flagging when the week's overcommitted.
Filtering. Deciding what genuinely needs the founder and what doesn't - and helping to handle what doesn't
First port of call. When the team need something, they come to you rather than to Hannah.

3. Finding solutions

Sorting the friction. Kit that won't connect, a supplier who's messed up, a booking gone wrong, a new starter who needs setting up.
Making it better. The fix is half the job. Working out why it broke and making sure it doesn't again is the other half.

What we're looking for

Someone who fixes things. When something's not working, you'd rather sort it than pass it on. The instinct matters more than knowing how.
Properly organised. You can hold a dozen things at once without dropping any, and people don't need to chase you.
Experience in this kind of role. Office admin, office management, EA, coordinator - whatever it was called. You know how this work feels and you enjoy it.
Someone who gives a sh*t. It's our number one value and we mean it. Caring that something's done right, not just finished.
Comfortable saying no. Part of the job is telling Hannah "that can wait until Monday."

Nice to have, but not essential:

Small business or startup experience
Comfortable with tech beyond the basics - not IT support - but understands how to fix things.
Exposure to HubSpot, Slack, Google Workspace, Canva or Xero
Confident with using AI to support the role - not replace it.
Some invoicing or bookkeeping exposure
