Job Purpose
The FF&E Operations & Compliance Coordinator coordinates the day-to-day delivery, logistics, and personnel setup for furniture (FF&E) installation projects at Sizewell C. Working as the hands-on operational assistant to the Operations Manager, you will keep site activities running smoothly by assisting in scheduling deliveries, organising installation teams, tracking project costs, and maintaining fluid communication between the site floor and office. You will also look after essential site administration, such as project paperwork management, and tracking meeting actions to ensure project milestones are hit.
Core Responsibilities
1. Coordinating Onboarding & Crew Readiness
- Vetting Coordination: Run the day-to-day background check and induction processing for all installation crews and project personnel to ensure zero deployment delays. Collect, review, and track essential onboarding documents, and ongoing training updates.
- Site Vehicle Compliance: Verify and audit all personnel transport and delivery vehicles to ensure they meet strict site entry criteria, including project-specific safety standards.
- Staff database; Overseeing Workforce Management System, including leavers, rehires, shared resources, transfers, and project shared resources. Assist with evidence collation as per C&Q Matrix requirements, ensuring filed correctly for audit purposes.
- Access System Updates: Process requests for temporary workers and office visitors, warehouse visitors and urgent operational requirements and keep visitor system fully updated so crew badges, vehicle permits, and gate passes are active and correct.
2. Coordinating Installation Teams & Daily Site Setup
- Crew Scheduling: Help plan and manage daily and weekly rosters for furniture installation teams to meet project deadlines, ensuring timesheets and tracking logs are updated.
- On-Field Guidance: Spend time on the construction floor guiding installation teams, making sure furniture layouts match the approved floor plans exactly.
- Site Documentation: Assist supervisors in organising daily morning toolbox talks and Set to Work Briefings to communicate daily targets, team allocations, and safety rules. Organise, store, and track weekly site paperwork, and documents.
- Issue & Snag Tracking: Maintain the project's installation logs, capturing any field issues or material snags immediately so the Operations Manager can resolve them.
3. Logistics, Vehicles, Warehousing & Deliveries
- Haulage Booking: Liaise, book, and secure commercial transport and haulage vehicles to transport furniture shipments from manufacturing points and consolidation warehouses to the project site, communicating project timelines, required vehicle specifications, and load sizes.
- Delivery Scheduling: Coordinate arrival slots for all furniture trucks through the site’s transport booking system, ensuring strict driver compliance with approved access roads. Monitor delivery truck arrival times.
· Warehousing Solutions: Coordinate with off-site and on-site storage teams to manage furniture stock levels, ensuring consolidation warehouses are organized and items are pulled for site delivery in the correct sequence.
· Asset Management Systems: Assist with input and tracking of structural FF&E stock numbers within inventory software, ensuring all allocated to the correct project blocks.
4. Coordinating with Procurement & Head Office
- Supply Chain/ Quote Preparation Link: Assist the Operations Manager in linking site operations with the central head office purchasing department to ensure materials arrive when needed. Gather measurements, product specifications, and material requests and organise the data.
- Order/Variations Tracking: Track the progress of purchase orders (POs) released by head office to ensure supplier delivery dates line up with the site timeline. Record any on-site layout changes or extra client requests, assisting the Operations Manager in contract revisions.
- Cost Tracking: Maintain project financial spreadsheets, tracking extra costs and material adjustments to keep project spend accurate.
Required Skills & Experience
- Work History: 2 to 3 years of experience in an operations coordination, logistics administration, or site coordination role within a fast-paced environment.
- Operations Support: Proven ability to act as a reliable right-hand to Operations Manager, coordinating with head office support functions like procurement, administration and HR.
· Solution-driven thinker: you will actively anticipate site bottlenecks, pivot logistics schedules during unexpected delays, and find creative, efficient ways to solve daily workspace challenges.
· Data & Tech Literacy: Competent with numbers to update spreadsheets, check quote details, and navigate digital logistics and booking systems.
· Vetting Eligibility: Must be able to pass a thorough background check to obtain nuclear site clearance and comprehensive BPSS clearance.
· Team Skills: Excellent coordination and communication skills to work effectively with delivery drivers, central procurement, and site teams and clients.
