Project Delivery Coordinator
Job Summary
We are seeking a highly organised and proactive Project Delivery Coordinator to act as the central point of communication between customers, sales teams, project managers, engineers, and operational departments. The successful candidate will be responsible for ensuring all customer requirements are accurately captured, quotations are complete and correct, materials and equipment are ordered accurately and on time, and customers remain fully informed throughout the lifecycle of their project.
This role is focused on coordination, communication, and information management rather than direct project management. The ideal candidate will excel at building relationships, maintaining accurate records, coordinating multiple departments, and ensuring a seamless customer experience from quotation through to project completion.
Working within a specialist dental engineering environment, the role would particularly suit someone with experience in engineering, construction, building services, technical installations, or a related trade-based industry, where coordinating multiple stakeholders, suppliers, technical specifications, and installation activities is essential.
Duties
- Act as the primary liaison between customers, sales representatives, project managers, engineers, procurement teams, and other internal departments.
- Review quotations and project documentation to ensure customer requirements, specifications, and expectations are accurately captured.
- Coordinate the transfer of information between departments to ensure all project details remain accurate, current, and accessible.
- Maintain regular communication with customers, providing updates on project progress, timelines, deliveries, and any changes that may arise.
- Ensure all products, materials, equipment, and project requirements are ordered correctly and in accordance with project specifications and schedules.
- Monitor order progress and collaborate with suppliers and internal teams to resolve any issues that may impact delivery or installation timelines.
- Maintain accurate project records, customer communications, quotations, purchase orders, drawings, and related documentation.
- Identify discrepancies, missing information, or potential issues early and work with relevant stakeholders to resolve them promptly.
- Support project managers and engineering teams by ensuring all required information, approvals, and documentation are available when needed.
- Coordinate handovers between sales, operations, engineering, and installation teams to ensure smooth project execution.
- Contribute to the continuous improvement of processes, communication channels, and customer service standards.
Skills & Experience
- Previous experience in a project coordination, project support, operations coordination, customer service, sales support, or similar role.
- Experience within an engineering, construction, building services, facilities, manufacturing, technical installation, or trade-related environment would be highly advantageous.
- Understanding of technical documentation, specifications, drawings, or installation requirements is desirable.
- Strong organisational skills with the ability to manage multiple projects, orders, and customer requirements simultaneously.
- Excellent communication and interpersonal skills, with confidence interacting with customers, engineers, contractors, suppliers, and colleagues at all levels.
- Proven ability to coordinate activities across multiple departments and maintain effective working relationships.
- High attention to detail with a focus on accuracy in quotations, orders, documentation, and customer communications.
- Strong problem-solving skills and the ability to identify and resolve issues proactively.
- Experience using CRM, ERP, order processing, or project tracking systems.
- Competent in Microsoft Office applications, particularly Outlook, Excel, and Word.
- Ability to prioritise workload effectively and work under pressure while maintaining accuracy.
