As we continue to expand, we are seeking a meticulous and proactive Accounts Manager to manage our customer accounts and ensure timely payments.
Role Overview:
The Accounts Manager will oversee the financial, supply chain, costing, and operational administration functions of the bakehouse business. This role is responsible for managing supplier orders, inventory costing, bookkeeping, financial reporting, QuickBooks management, profit & loss analysis, and maintaining B2B and B2C systems.
The ideal candidate will combine strong accounting knowledge with operational coordination skills to support efficient bakery production, procurement, and sales processes
Key Responsibilities
1. Financial Management & Accounting
- Maintain accurate financial records and day-to-day bookkeeping.
- Manage accounts payable and accounts receivable processes.
- Reconcile bank accounts, supplier statements, and customer payments.
- Prepare weekly and monthly financial reports.
- Monitor cash flow and financial transactions.
- Prepare and maintain Profit & Loss (P&L) statements.
- Support budgeting and financial forecasting activities.
- Ensure compliance with accounting standards and company policies.
- Assist external accountants during audits and year-end accounts preparation.
2. QuickBooks Management
- Manage and maintain all accounting entries in QuickBooks.
- Record sales, purchases, expenses, payroll, and inventory transactions.
- Generate financial reports from QuickBooks.
- Ensure accurate VAT/tax recording and reporting.
- Maintain chart of accounts and financial data integrity.
- Troubleshoot and resolve accounting system discrepancies.
3. Supply Chain & Procurement Management
- Coordinate supply chain operations for bakery ingredients, packaging, and operational materials.
- Place purchase orders with suppliers based on production requirements.
- Maintain supplier relationships and negotiate pricing where applicable.
- Track deliveries and ensure timely procurement of stock.
- Monitor inventory levels to avoid shortages or overstocking.
- Maintain procurement records and supplier price lists.
- Coordinate with production teams regarding raw material requirements.
4. Product Costing & Price Matrix Management
- Develop and maintain product costing models for bakery items.
- Calculate ingredient costs, labour costs, packaging costs, and overhead allocations.
- Prepare and update price matrices for all products.
- Analyse profit margins and recommend pricing adjustments.
- Monitor fluctuations in raw material costs and assess impact on profitability.
- Support management in strategic pricing decisions.
5. B2B & B2C System Administration
- Maintain and update B2B wholesale ordering systems.
- Manage B2C online ordering platforms and product listings.
- Ensure product pricing, stock availability, and customer information are accurate.
- Coordinate updates for promotions, new products, and seasonal items.
- Monitor order processing and system integrations.
- Work with sales and operations teams to improve workflow efficiency.
6. Reporting & Business Analysis
- Produce operational and financial reports for management.
- Analyse sales trends, costs, and profitability.
- Monitor KPIs related to procurement, inventory, and financial performance.
- Identify opportunities for cost savings and process improvements.
- Support decision-making through accurate data analysis.
Required Skills & QualificationsEducation
- Bachelor’s degree or diploma in Accounting, Finance, Business Administration, or related field preferred.
Experience
- Minimum 3–5 years of experience in accounting, bookkeeping, or finance operations.
- Experience in food production, bakery, manufacturing, or FMCG industry preferred.
- Hands-on experience using QuickBooks.
- Experience with inventory management and supply chain coordination.
Technical Skills
- Strong bookkeeping and accounting knowledge.
- Excellent understanding of P&L reporting.
- Experience with product costing and pricing analysis.
- Proficiency in Microsoft Excel and financial reporting tools.
- Familiarity with ERP, POS, B2B, and eCommerce systems.
- Strong numerical and analytical skills.
