About Us
Quarry House Vets are a local independent small animal veterinary practice that treat exotics. We have clinics in Torquay, Newton Abbot & Teignmouth. We are RCVS accredited, RWAF awarded for rabbit welfare & knowledge and are a veterinary nurse training practice.
The Role
This is a challenging, yet very rewarding role. You will work closely alongside a talented and dedicated group of professionals who value colleague collaboration, team and individual learning development and exceptional client and patient care.
You will act as the primary point of contact for clients, suppliers, and visitors, managing all incoming communications while ensuring a welcoming and efficient clinic environment. You will combine compassionate client care with essential administrative support to keep daily operations running smoothly.
A valid UK driving licence and access to a vehicle are essential for this role, as you may be required to travel to our other clinics.
Duties and Responsibilities
- Welcome clients and their pets warmly to the practice.
- Act as the primary point of contact for clients, suppliers, and visitors.
- Answer phone calls to book appointments and handle general inquiries.
- Identify and escalate medical emergencies quickly to the clinical team.
- Register new clients and accurately update electronic patient records.
- Contact previous veterinary practices to obtain patient histories when necessary.
- Scan paper documents and upload them accurately onto the practice management system.
- Attach all external medical histories and scanned documents to the correct patient records.
- Process payments, issue invoices, and assist with pet insurance claims.
- Provide basic information on preventative healthcare like flea and worming treatments.
- Dispense repeat prescriptions that have been pre-authorised by a vet.
- Restock reception retail displays.
- Comfort and support distressed pet owners during difficult situations.
- Maintain confidentiality in line with GDPR and RCVS guidelines.
- Keep the reception desk and waiting area clean, tidy, and welcoming.
- Complete daily cashing up by balancing cash and card machine totals.
- Identify and resolve any financial discrepancies or balance errors at the end of the day.

- Hours of work are between Monday – Friday 9am-5pm, Wednesday 5pm-7pm and Saturday 9am-1pm (days and times to be discussed)

About You
We are looking for an organised, enthusiastic, and communicative individual who is competent, trustworthy, and able to maintain professional boundaries. Above all, you must be a genuine animal lover who is passionate about pet welfare.
You must be patient and deeply empathetic, staying calm under pressure while building excellent rapport with clients, suppliers, and visitors. A keen eye for detail is essential, as you will be responsible for accurately managing patient histories, scanning documents, and balancing daily finances.
Flexibility is a key component of this post as well as having a vehicle/full UK driving licence covered by business insurance due to travelling to other clinics.
