Overview
The Prescription Clerk & Admin Support Apprentice will support both the pharmacy and administration teams in delivering a high-quality service to patients at Mayfield Medical Centre.
The apprentice will undertake a Business Administration Level 3 Apprenticeship alongside their day-to-day duties and will receive training, supervision and support to develop the knowledge, skills and behaviours required for the role.
The role is designed to provide practical experience across both the pharmacy and administration functions within a GP practice environment. The apprentice will typically spend two days per week supporting the pharmacy team, two days per week supporting the administration team, and one day per week completing apprenticeship study and training requirements.
The role will provide experience in healthcare administration, prescription processing, patient communication, digital systems, document management, teamwork and customer service within Primary Care.
Pharmacy Support Responsibilities
· Learn to process repeat prescription requests received into the practice in accordance with practice protocols and procedures
· Support the management of the prescription query line during opening times
· Assist in preparing prescriptions for the GP or non-medical prescriber to sign within agreed timeframes
· Learn how to ensure prescription requests are processed within practice policy timeframes
· Support the generation of medication requests on behalf of patients for non-repeat items
· Encourage patients to reconcile medications to support efficient monthly collections
· Communicate with patients regarding their medication requirements and encourage appropriate ordering
· Support the management of queries from patients and clinicians in a professional and timely manner
· Escalate compliance or medication concerns to the appropriate clinician or supervisor
· Assist in maintaining accurate recall systems for medication reviews, including DMARDs and shared care agreements
· Liaise with external healthcare professionals, such as district nurses and pharmacies, to support patient care pathways
· Promote digital services including the NHS App and Patient Access
· Input data into patient healthcare records from tasks, emails, Klinik requests and correspondence under supervision where required
· Assist in processing, coding and actioning clinical documents sent to the pharmacy team
· Support linking medications to QoF and Long-Term Condition reviews
· Assist with medicines management projects, Enhanced Services and Medicines Optimisation initiatives
· Learn how to accurately record and report adverse effects and escalate concerns appropriately
· Carry out system searches and administrative tasks as requested
· Support the completion of the practice monthly return to the Prescription Pricing Authority
· Assist with reviewing and updating prescribing policies and administrative procedures
Administration Support Responsibilities
· Provide administrative support to the wider practice team as required
· Support the processing of incoming and outgoing correspondence including emails, letters and clinical documents
· Assist with scanning, coding and filing documentation accurately within patient records
· Support the management of tasks and workflow requests received through digital systems
· Learn to use clinical systems and practice software effectively and accurately
· Support appointment and recall administration processes where appropriate
· Assist in maintaining accurate patient records and updating information where required
· Support the administration team with data entry and document management tasks
· Assist with handling patient queries in a professional and courteous manner
· Support the processing and distribution of internal communications and practice information
· Assist with audits, searches and reporting requirements as requested
· Maintain confidentiality and data protection standards at all times
· Support practice projects and service improvement initiatives where appropriate
Apprenticeship Responsibilities
In addition to workplace duties, the apprentice will:
· Complete all coursework and assignments required for the Business Administration Level 3 Apprenticeship
· Develop knowledge, skills and behaviours in line with the apprenticeship standard
· Maintain professional standards of conduct, confidentiality and attendance
· Work towards achieving apprenticeship milestones and successful completion of End Point Assessment
· Apply learning from the apprenticeship programme within the workplace
· Manage study time effectively to ensure apprenticeship requirements are achieved alongside workplace responsibilities
· Be flexible in supporting additional administrative and pharmacy tasks when capacity allows
· Undertake all mandatory training and apprenticeship learning requirements relevant to the role
· Attend college, apprenticeship workshops, tutorials and reviews as required
· Maintain a clean, tidy and effective working area at all times
· Participate in regular supervision meetings and undertake a formal appraisal with their Line Manager at least every 12 months to review performance and training requirements so that new objectives can be agreed

Pay: From £15,392.00 per year
