Full job description

Overview

The Operations Coordinator provides administrative, operational and coordination support to ensure the effective management of the Unique Systems rental equipment.

The role is responsible for creating and distributing despatch documentation and customs records, maintaining accurate ERP system data and supporting customs

compliance requirements.

The Operations Coordinator contributes to efficient day-to-day operations through accurate documentation, timely processing of despatch requirements, and effective

communication across the workshop, sales and accounts functions.

The position works within established procedures and defined operational processes, contributing to a safe, organised and compliant working environment.

Duties

Process rental, sales and purchase orders, and repairs in the ERP System.
Coordinate mobilisation and demobilisation of rental equipment, ensuring accurate rental equipment, ensuring accurate documentation is distributed and customs documentation is distributed and customs compliance requirements are met.
Process invoicing and recharges for freight or damaged and missing equipment within required timeframes.
Track deliveries, incoming equipment and client requirements to ensure timely delivery.
Record the movement of all controlled goods, ensuring the correct license is submitted when the goods are exported.

Invoicing

Produce monthly system reports.
Coordinate monthly utilisation figures with clients and the sales team.

Educational Requirements

Additional certification in office administration, operations, logistics or customs advantageous.

Experience Requirements

Minimum 2 years’ experience in operations, rental coordination or administration.
Experience with ERP/CRM systems (e.g., D365, InspHire) desirable.
Working knowledge of customs and export control requirements is advantageous.
