Purpose of the Role
The Student Registry Officer is a varied, cross-functional role sitting at the heart of Learna's student registry operations. The post-holder works flexibly across a range of registry and quality functions, from assessment data and award board preparation to academic and partner compliance processes. No two weeks look exactly the same, and the role is well suited to someone who enjoys variety, adapts quickly, and takes genuine pride in getting the detail right across whatever they turn their hand to. Full training and ongoing support are provided across all areas of the role, so no prior experience of every function is expected, just the curiosity and commitment to learn them well.
Responsibilities
Data & Assessment Administration
- Process, validate, and maintain student assessment data, ensuring accuracy and strict version control at all times
- Prepare compliant student records and documentation for partner university award boards
- Identify data anomalies or discrepancies and liaise with internal teams to resolve issues ahead of key deadlines
- Support the preparation and quality assurance of assessment-related materials across programmes
Academic Integrity & Casework
- Support the review and management of academic misconduct cases, including those involving suspected AI-generated or AI-assisted submissions
- Conduct preliminary evidence gathering and analysis in line with institutional procedures
- Keep students and relevant stakeholders informed of case progress and outcomes in a clear, professional, and timely manner
- Attend relevant committee meetings to present case information, contribute to discussions, and accurately record decisions
- Maintain confidential case records in accordance with institutional policy and GDPR requirements
Quality & Compliance Support
- Support formal quality and compliance processes as they arise, including ethics application cycles and partner-facing submissions
- Liaise between students, internal teams, and approval committees to ensure applications and paperwork are accurate and submitted on time
- Maintain clear records and contribute to audit-ready documentation across relevant processes
Operational Support
- Contribute to the broader work of the Student Registry department as needed, picking up tasks across teams during peak periods or when priorities shift
- Maintain and update databases, trackers, and records to a consistently high standard
- Communicate clearly and professionally with internal and external stakeholders across all areas of work
Essential Skills
- Proven experience in an administrative role
- Exceptional attention to detail, with a strong ability to spot errors and inconsistencies in data
- Confident working with spreadsheets (ideally Google Sheets) and managing large datasets
- Excellent written communication skills, with the ability to adapt tone and style for different audiences
- Well-organised and calm under pressure, particularly when managing multiple priorities across different workstreams
- Committed to data confidentiality and GDPR compliance
- Comfortable working across teams and building relationships with a range of stakeholders
Desirable
- Experience working with postgraduate or online distance learning programmes
- Familiarity with UK higher education processes and academic structures
- Experience handling sensitive casework or contributing to formal committee processes
