Electrical Solution Services Ltd (ESS)

Location: Remote / Work From Home
Job Type: Zero-Hour Contract
Salary: £15.00 – £18.00 per hour (Dependent on Experience)

About Us

Electrical Solution Services Ltd (ESS) are specialist contractors delivering electrical, fire safety, and life safety solutions throughout the UK. Our services include fire alarm systems, emergency lighting, AOV systems, voice evacuation systems, electrical installations, and ongoing maintenance services.

As our business continues to grow, we are looking for a reliable and organised Contracts Administrator to provide flexible administrative support to our Contracts, Commercial, and Operations teams.

The Role

This is a remote, work-from-home position offered on a zero-hour contract, providing flexibility to suit both the business and the successful candidate. Working hours will vary depending on project workload and business requirements.

The Contracts Administrator will be responsible for supporting the administration and coordination of projects from enquiry through to completion, ensuring documentation is accurate, compliant, and submitted on time.

Key Responsibilities

Provide administrative support to Contracts Managers and Project Teams.
Prepare, issue, and maintain project documentation.
Manage purchase orders, quotations, and supplier information.
Maintain project trackers, schedules, and filing systems.
Upload documentation to client and contractor portals.
Assist with onboarding documentation and compliance requirements.
Coordinate engineer attendance and project schedules where required.
Prepare reports, spreadsheets, and project updates.
Assist with invoicing, applications for payment, and project cost tracking.
Maintain records relating to NSI, BAFE, Health & Safety, and Quality Assurance requirements.
Support the preparation of tender submissions and contract documentation.
Liaise professionally with clients, suppliers, and subcontractors.

Essential Requirements

Previous administration experience.
Strong organisational skills and attention to detail.
Excellent communication skills, both written and verbal.
Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
Ability to work independently and manage workload effectively.
Reliable internet connection and suitable home working environment.
Professional and proactive attitude.

Desirable Requirements

Experience within the construction, electrical, fire protection, or building services sectors.
Understanding of project administration and contract documentation.
Experience using client portals and document management systems.
Knowledge of purchase orders, invoicing, applications for payment, and commercial processes.
Experience supporting project managers, contracts managers, or commercial teams.
Experience using project management and job costing software would be advantageous.

Company Systems

Electrical Solution Services Ltd is currently implementing Simpro, a leading job management and project administration platform. The successful candidate will play an active role in supporting the use and development of this system across the business.

Previous experience with Simpro is desirable but not essential, as full training will be provided. Candidates should be comfortable learning new software systems and helping to improve administrative processes as the company continues to grow.
