Job purpose
The Marketing & Events Coordinator is responsible for supporting the delivery of ASFP’s year-round events programme, including webinars, CPDs, conferences, and industry events.
The role focuses on the end-to-end coordination of events, from marketing campaigns and delegate sales through to booking, administration, and onsite delivery.
The postholder will play a key role in increasing event attendance, enhancing delegate experience, and supporting revenue generation, while ensuring all activities align with the ASFP brand and mission.
Key Responsibilities
A. Event Marketing & Promotion
· Plan and deliver marketing campaigns for ASFP events across email, website, and social media.
· Create and schedule promotional content including event listings, email campaigns, and social posts.
· Maintain and update event pages on the ASFP website and events platform.
· Work with the marketing team to ensure consistent branding and messaging across all event communications.
· Support the development of promotional materials including graphics, brochures, and presentations.
B. Delegate Sales & Bookings
· Manage event bookings from initial enquiry through to confirmation.
· Process registrations, payments, and invoicing in line with ASFP procedures.
· Monitor booking levels and proactively support sales activity to achieve attendance targets.
· Handle delegate queries in a professional and timely manner.
· Maintain accurate records within CRM and event management systems.
C. Event Coordination & Delivery
· Coordinate all logistical aspects of events including venues, virtual platforms, speakers, and materials.
· Liaise with internal teams, speakers, sponsors, and external suppliers.
· Prepare delegate lists, joining instructions, and event packs.
· Provide onsite or virtual event support, ensuring smooth delivery and high-quality experience.
· Assist with post-event follow-up including feedback surveys and reporting.
D. Data, Reporting & Continuous Improvement
· Track event performance including attendance, engagement, and revenue.
· Support reporting on marketing campaign effectiveness and conversion rates.
· Maintain accurate event data and mailing lists in CRM systems.
· Identify opportunities to improve processes, attendance, and delegate experience.
E. General Marketing Support
· Assist with wider marketing activities where required, including website updates, email campaigns, and content creation.
· Support the delivery of ASFP campaigns that promote training, membership, and industry initiatives.
· Contribute to maintaining a consistent and professional ASFP brand across all activities.
Authorised to:
· Update event listings and marketing content on ASFP systems.
· Issue event-related communications to members and prospects.
· Manage bookings and delegate communications within defined processes.
Basic competency requirements
· GCSE (or equivalent) in English and Maths.
· Experience in a marketing, events, or administrative role (minimum 1–2 years preferred).
· Strong organisational and time management skills.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
· Experience with CRM systems and/or event platforms (desirable).
· Familiarity with email marketing tools and social media platforms.
· Proficiency with Canva (necessary) and video editing platforms including Descript (Ideal)
· Some experience with Adobe Suite - training will be provided where required
· Experience filming and editing video (at a beginner level)
· Ability to manage multiple tasks and deadlines in a fast-paced environment.

· ASFP Introduction to Passive Fire Protection
· IFE Level 2 Certificate in Passive Fire Protection
· Use of Nucleus Digital Platforms
· Internal systems and processes (e.g. ExpenseIn)

Desirable
· Experience delivering events (in-person and/or virtual)
· Experience working in a membership organisation or not-for-profit
· Knowledge of CRM/email marketing systems
· Interest in construction, fire safety, or built environment sectors
