The Role
This is a pivotal position within the business.
As our Client Services & Order Coordinator, you'll be responsible for ensuring every customer order is processed accurately and efficiently, while delivering exceptional customer service to some of London's leading businesses.
Approximately 50% of your time will be spent processing customer orders into our operating system, with the remainder focused on customer service, quotations, sales administration and supporting the smooth day-to-day running of the office.
This role requires someone who genuinely enjoys organisation, has exceptional attention to detail and takes pride in providing outstanding service.
Key Objectives
- Enter all customer orders into our operating system with 100% accuracy.
- Process customer orders within one hour of receipt wherever possible.
- Respond to standard quotation requests within two hours.
- Deliver an exceptional customer experience at every interaction.
- Build strong, long-lasting relationships with our clients.
- Support the wider office and operations teams to ensure the smooth running of the business.
Key Responsibilities
Order Management
- Receive customer orders via our website and email.
- Accurately enter all orders into our operating system (Elvis).
- Check all order details thoroughly before processing.
- Send order confirmations to customers.
- Process amendments and cancellations promptly.
- Ensure customer deadlines are always met.
- Complete the daily office afternoon checklist.
Customer Service
- Act as one of the main points of contact for our customers.
- Answer incoming telephone calls professionally and confidently.
- Respond to customer emails promptly.
- Resolve day-to-day customer enquiries.
- Escalate issues where appropriate.
- Build positive relationships through excellent communication and service.
Quotations & Sales Support
- Produce quotations for straightforward catering enquiries.
- Support customers with menu choices and ordering guidance.
- Assist the sales team with administrative support.
- Help convert enquiries into confirmed orders.
Sales Administration
- Maintain accurate customer information within Buddy CRM and Elvis.
- Update contact details and customer records.
- Notify Accounts of relevant customer changes.
- Support client familiarisation meetings.
- Maintain high-quality customer records.
Operations Administration
- Assist the Managing Director with administration and reporting.
- Collate sales information for monthly meetings.
- Deal with straightforward customer account queries.
- Support continuous improvement projects.
- Assist other departments whenever required.

No weekend working as part of your contracted hours.
Additional Paid Opportunities
There is the opportunity to undertake hospitality work at evenings and weekends, including waiting and event support. These shifts are entirely optional and are paid separately at varying rates depending on the role and event.
Essential Requirements
- Minimum two years' office administration experience.
- Previous customer service experience.
- Fluent written and spoken English.
- Right to work in the United Kingdom.

Please note: This is a fully office-based role in Waterloo, London. We do not offer remote or hybrid working for this position.
