Business Operations Manager – Dental Group

We are looking for a commercially minded, organised and proactive Business Operations Manager to work closely with the owner and help lead the next stage of growth across both practices.
This is not just a standard practice manager role. We are looking for someone who can take ideas, create systems, manage people, track performance and help drive the business forward.
The Role
The Business Operations Manager will oversee the day-to-day running and performance of both practices, ensuring the teams, diaries, patient journey and business systems are working effectively.
You will work directly with the owner to implement strategy, improve operations, support the team and help grow private revenue.
You do not necessarily need to come from a dental background. Experience in private healthcare, aesthetics, hospitality, retail, customer service, operations or an owner-led growing business would also be highly relevant.
Key ResponsibilitiesOperations
- Oversee the smooth running of both dental practices
- Ensure rotas, holiday cover, nurse cover and reception cover are well managed
- Improve diary utilisation and reduce empty chair time
- Ensure systems and processes are followed consistently
- Identify operational problems and create practical solutions
- Support the implementation of new projects and practice improvements
- Take initiative in spotting areas for improvement and helping to move the business forward
Team Management
- Support and manage practice coordinators, reception, nurses and treatment coordinators
- Help build a positive, accountable and high-performing team culture
- Hold regular team meetings and performance check-ins
- Deal with day-to-day staff issues professionally and fairly
- Help improve communication between clinicians, nurses, reception and management
- Encourage a positive, can-do attitude across the team
Business Growth
- Work with the owner to implement growth ideas across both practices
- Help drive private treatment revenue, including implants, Invisalign, hygiene and cosmetic dentistry
- Monitor new patient enquiries and lead follow-up
- Improve treatment-plan tracking and patient conversion
- Support marketing campaigns by ensuring the team follows up enquiries properly
- Help improve the overall patient journey and customer experience
Performance Tracking
You will be responsible for helping track and improve key business numbers, including:
- Practice revenue
- Private revenue
- Dentist diary utilisation
- Hygienist diary utilisation
- NHS UDA performance
- New patient enquiries
- Implant and Invisalign enquiries
- Treatment plans sent and accepted
- Missed calls and response times
- Google reviews
- Staff sickness and holiday cover
- Patient complaints and feedback

Experience Required
- Previous experience in operations, management, healthcare, hospitality, retail or a service-based business
- Experience managing a team
- Strong organisational and communication skills
- Ability to manage multiple priorities
- Good understanding of KPIs, targets and performance management
- Comfortable using spreadsheets, systems and reports
