Role Description:
The HR Administrator supports HR Operations, support recruitment, training and keeping employee records up to date, ensuring compliance with HR processes and in support of CQC and Legal requirements.
This role performs a wide range of administrative and operational tasks within HR.
Duties:
Employee records management – maintain accurate digital and physical employee records, update HR database and ensure compliance with data protection regulations.
Recruitment support- assist with job postings, candidate screening, reference checks, Right to Work eligibility, issuing employment contracts in line with KMG requirement and co-ordinate interviews. Ensuring unsuccessful candidates are informed and interview paperwork is in line with KMG requirements for panels.
Onboarding and training – facilitate new employee orientations, schedule training sessions, maintaining training records and ensure an effective bring forward system of review. This will include starting paperwork is completed including references and DBS checks. Setup on system one, teamnet, smartcards and equipment issuing and ordering of personalised kit ie PPE, fleeces and lanyards.
Payroll assistance – liaise with HR PA to ensure the collection and input of staff data for monthly payroll requirements. This is to include absence information in liaison with HR PA.
Reporting and compliance – prepare HR reports, monitor compliance with laws in relation to policies and procedures, support audits and internal HR projects.
Administrative tasks – schedule meetings, maintain agendas, handle correspondence and support HR events or projects. This will include the scheduling of reminders to managers of probation reviews, 121s, clinical supervision and appraisals. Work with HR PA to ensure sickness absence is compliant with Equality Act.
Event planning – support the PA HR with company meetings and events to include monthly clinical meeting arrangements and agendas, company meetings relating to locations and equipment, summer party and Christmas party celebrations.
Health and Safety – support HR PA in loading and updating H&S policies and procedures. Ensuring notifications and sign offs by all staff. Supporting the HR PA undertaking audits at both sites and supporting on building issue resolution such as arranging contractors to attend sites.
Monthly reporting – monthly absence records, highlighting areas of concern for the HR PA or Manager to manage.
Social media – be involved and support HRPA on social media activity in the support of our patients and PPG group – working alongside and providing support to the PCN Manager. This will involve updating patient display screens across both sites.
Skills and Experience - what we need from you
ESSENTIAL
- Grade 5 and above GCSE’s to include English and Maths
- Proven administrative experience
- Proven skills in Microsoft Office (outlook, word, PowerPoint and excel)
- Effective communications in English both written and spoken
- Experience of analytical and project planning skills
- Effective co-ordination, organisational and time management skills
- Proven ability to multitask, be a self-starter and take busy days in your stride.
- Proven ability to work as part of a team and on own initiative.
- Demonstrate empathy and compassion where situations require
- Have a friendly and approachable manner
- Proven experience of adhering to confidentiality
DESIRABLE
- Administrative experience in Primary Care or NHS setting
- Has experience and is confident in taking meeting minutes and distributing
- SystemOne – Primary Care clinical and administrative system.
- Teamnet – Primary Care employment and information database
