### About the Role
This is a key position within the business and an excellent opportunity for an experienced and motivated professional who enjoys taking ownership of responsibilities and contributing to the success of a growing company. As Office Manager, you will be responsible for overseeing the daily administrative operations of the business, ensuring that internal processes run efficiently and that both staff and clients receive exceptional support.
The successful candidate will act as a central point of coordination between management, operational teams, clients, and external stakeholders. You will be expected to manage multiple priorities, maintain accurate records, support recruitment and staff administration, assist with compliance requirements, and help ensure that the office operates in a highly organised and professional manner at all times.
Given the nature of the security industry, attention to detail, discretion, reliability, and strong organisational skills are essential. You will play a significant role in supporting business growth, maintaining operational efficiency, and helping uphold the professional standards that our clients have come to expect from Vigilante Guardian Security Ltd. This role would suit an individual who is proactive, confident, solutions-focused, and capable of working independently while also supporting a wider team.
### Key Responsibilities
- Oversee the day-to-day administration and operation of the office.
- Manage incoming calls, emails, correspondence, and client enquiries.
- Maintain accurate personnel records, company documentation, and filing systems.
- Support recruitment activities, onboarding processes, and employee administration.
- Coordinate meetings, schedules, training arrangements, and operational requirements.
- Assist with payroll preparation, invoicing, timesheets, and general bookkeeping administration.
- Liaise with clients, suppliers, contractors, and external organisations.
- Support compliance processes and ensure records are maintained in accordance with company and industry requirements.
- Monitor office supplies, equipment, and facilities management needs.
- Prepare reports, documents, and correspondence for management.
- Assist senior management with strategic and operational administrative tasks.
- Contribute to the continuous improvement of office systems and procedures.
### Requirements
- Previous experience as an Office Manager, Senior Administrator, Operations Administrator, or in a similar role.
- Excellent organisational and time-management skills.
- Strong communication and interpersonal abilities.
- High level of professionalism, discretion, and integrity.
- Proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams.
- Ability to manage multiple tasks and deadlines effectively.
- Strong attention to detail and problem-solving capabilities.
- Ability to work independently and use initiative.
- Experience within the security industry is desirable but not essential.
### Working Arrangements
This is a full-time, office-based position located in Milton Keynes. Due to the nature of the role and the level of interaction required with management, staff, clients, and operational teams, this is not a work-from-home or hybrid position. The successful candidate will be expected to work from our office and play an active role in the day-to-day running of the business.
