Role Overview:
Purpose of the Role the Executive Assistant will provide high-level administrative, organisational and operational support to the Chief Executive Officer and Executive Team. The role is pivotal in ensuring the smooth day-to-day operation of the Executive Office, enabling the CEO and Executive Directors to focus on strategic priorities, organisational performance and stakeholder engagement.
The post holder will act as a trusted and professional point of contact, managing competing priorities, coordinating activities across the organisation and ensuring that key actions and commitments are delivered effectively.
Key Responsibilities:
Executive Support
- Provide comprehensive support to the Chief Executive Officer and Executive Directors.
- Manage diaries, appointments and schedules, ensuring effective prioritisation of time and commitments.
- Coordinate travel, accommodation and event arrangements.
- Prepare agendas, presentations, reports, briefing papers and meeting documentation.
- Organise and maintain electronic and paper filing systems.
- Prepare documents for review and signature.
- Manage and process expenses in line with company procedures.
- Monitor and manage email correspondence, responding or escalating as appropriate.
- Handle highly confidential and sensitive information with discretion and professionalism.
- Maintain an accurate record of key actions and commitments on behalf of the CEO and Executive Team.
Communication and Stakeholder Management
- Serve as a professional point of contact between the CEO, Executive Team and internal and external stakeholders.
- Draft, review and manage correspondence on behalf of the CEO and Executive Directors.
- Coordinate communication across departments to support effective information sharing.
General Responsibilities
- Undertake any other duties commensurate with the level and responsibilities of the role.
- Flexibility to attend occasional evening meetings, events and functions as required.
- Willingness to undertake training and professional development as required.
Person Specification:
Essential:
- Proven experience supporting C-suite or senior executives within a complex organisational environment.
- Demonstrable experience managing busy executive diaries, including prioritisation of competing demands and long-term planning.
- Experience coordinating high-level meetings, including preparing agendas and tracking follow up actions.
- Strong experience producing professional reports, presentations and briefing documents for senior leadership.
- Experience handling confidential information and operating with discretion in a corporate setting.
- Experience managing travel, logistics and event coordination at executive level.
- Proficient use of Microsoft Office tools (Outlook, Word, Excel, PowerPoint) in a business environment.
- Experience working across multiple teams or departments to support organisational coordination and delivery.
Desirable:
- Experience supporting Executive Teams within a regulated environment.
- Knowledge of the social housing or supported housing sector.
- Experience coordinating organisational projects and events.
- Experience preparing reports, presentations and briefing papers for senior leadership.
Personal Qualities:
- Proven experience as an Executive Assistant, Personal Assistant or similar role supporting senior leaders.
- Excellent organisational and time-management skills with the ability to manage multiple priorities.
- Outstanding written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to work independently and use initiative.
- Excellent stakeholder management and interpersonal skills.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel and PowerPoint.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Strong problem-solving skills and proactive approach to work.
- Ability to work under pressure and meet tight deadlines.
- Professional, approachable and adaptable manner.
