Job Summary
The Prescription Clerk is responsible for the safe, accurate and timely processing of repeat prescription requests in accordance with Practice policies and NHS prescribing guidance,. The post holder will act as a key point of contact between patients, GPs, pharmacists, reception staff, and other members of the primary healthcare team to ensure an efficient prescription service is delivered.
The Prescription Clerk will support the Practice in maintaining high standards of patient care, confidentiality, information governance, and medicines management.
Key Responsibilities:
Prescription Processing
- Process repeat prescription requests received via online services, NHS App, email, written requests, pharmacy requests and other approved Practice channels.
- Collect and process prescription requests received through designated collection points within the Practice.
- Ensure repeat medications are issued in accordance with established Practice protocols and authorised prescribing procedures.
- Identify requests that fall outside agreed repeat medication protocols and refer them to the appropriate GP, Clinical Pharmacist, Nurse Prescriber or other authorised clinician.
- Ensure prescription requests are processed accurately and within agreed Practice timescales.
Patient and Pharmacy Liaison
- Respond to patient enquiries regarding prescription requests in a professional and courteous manner.
- Liaise with local pharmacies, community pharmacists, care homes, district nurses and other healthcare providers regarding prescription queries.
- Communicate clearly with patients regarding prescription processing times, medication reviews and any issues affecting their requests.
- Escalate urgent prescription matters appropriately to clinical staff.
Medicines Management Support
- Monitor patient records to ensure repeat medications are authorised and reviewed within the required timeframe.
- Identify medications requiring review and notify the relevant clinician.
- Highlight medication-related queries, discrepancies, or concerns to the appropriate GP or prescribing clinician.
- Support the Practice's medicines optimisation and prescribing governance processes.
Records Management
- Maintain accurate patient records and update clinical systems as required.
- Follow Practice procedures for cancelling, recording and securely destroying uncollected prescriptions in accordance with NHS records management and information governance requirements.
- Ensure all prescription-related documentation is handled securely and confidentially.
Administrative Duties
- Assist with prescription-related audits and reporting requirements.
- Support the Practice with administrative tasks relating to medicines management and repeat prescribing.
- Participate in Practice meetings and training relevant to the role.
- Undertake any other reasonable duties consistent with the responsibilities of the post.
Person Specification:
Essential Criteria
- Previous administrative or clerical experience.
- Excellent communication and interpersonal skills.
- Good organisational skills and attention to detail.
- Ability to prioritise workload and work to deadlines.
- Competent IT skills
- Understanding of confidentiality and data protection requirements.
- Ability to work effectively as part of a team.
Desirable Criteria
- Previous experience working within an NHS General Practice or healthcare setting.
- Knowledge of repeat prescribing processes.
- Experience using GP clinical systems EMIS Web
- Understanding of NHS prescribing guidance and medicines management procedures.
- Experience liaising with pharmacies and healthcare professionals.
