Full job description

Job Overview

We are seeking an organised and commercially minded Groups, Reservations, Meetings & Events Coordinator to join Hilton Garden Inn Abingdon (part-time or full-time).

You will manage the sales, planning and coordination of group bookings, meetings and events, ensuring a smooth journey from enquiry through to delivery and final billing. You will be a key client contact, building strong relationships, maximising revenue opportunities and working closely with operational teams to deliver high-quality events.

Key Responsibilities

Meetings & Events Sales

Respond to enquiries and convert them into confirmed business.
Maximise revenue through upselling rooms, food & beverage and event services.
Build strong client relationships to encourage repeat business.
Conduct show rounds and promote hotel facilities confidently.

Event Planning & Coordination

Plan events from confirmation to completion.
Prepare accurate event orders and communicate details to operations teams.
Ensure all billing and event information is correct and compliant.
Support smooth event delivery, including on-the-day coordination and guest support.

Groups & Reservations

Manage group bookings and rooming lists with Reservations and Front Office.
Maintain accurate group records, billing details and group masters.
Support timely invoicing and payment collection.

Guest Service

Deliver excellent service throughout the client journey.
Handle queries, feedback and complaints professionally.
Conduct post-event follow-ups and gather feedback.
Build relationships to drive repeat and referral business.

Administration & Compliance

Maintain accurate records of bookings, revenue and guest/booker activity.
Process contracts, invoices and payments correctly.
Ensure systems are updated and procedures followed.
Comply with all Health & Safety and brand standards.

About You

Passionate about hospitality, events and guest service.
Highly organised with strong attention to detail.
Confident communicator with a commercial mindset.
Able to manage multiple tasks and deadlines.
Proactive, positive and problem solution focused.
Comfortable working across teams and using hotel systems.

Experience

Experience in Meetings & Events, Groups, Reservations or hotel sales is desirable.
Strong communication and customer service skills essential.
Experience with hotel or event systems is an advantage ( training provided)
