Aviation Vetting Officer

Permanent
Location: Slough - with regular travel across the UK to our other aviation sites
Hours: Full time, Monday - Friday
Pay: £32,000 - £34,000 depending on experience

We are looking for a highly organised and detail-focused Aviation Vetting Officer to join our team. In this critical role, you will manage the end-to-end vetting and pre-employment clearance process for new and existing employees, ensuring full compliance with CAA regulations, airport authority requirements, and Wilson James policies.

You will play a key part in supporting the safe and compliant mobilisation of our workforce across the Aviation sector. This role requires accuracy, efficiency, and the ability to follow established processes while handling sensitive information with the utmost confidentiality.

About the Role:

You will:

Conduct vetting for new and existing employees in line with Wilson James procedures, CAA standards, and ID pass requirements
Manage background checks (including DBS/CRC, GSAT) via the Vetting Gateway platform
Act as an Authorised Signatory for Heathrow and other Aviation sites
Oversee ID pass management
Coordinate Security Interviews and ID Centre appointments
Respond to applicant queries and provide guidance via Vetting Gateway
Chase references when required beyond automated processes
Support onboarding of pass schemes for new airport contracts
Maintain accurate records and ensure full compliance with governance standards
Provide data, reporting, and administrative support to senior stakeholders
Act as a Subject Matter Expert (SME) for Vetting Gateway and ID Gateway systems
Ensure strict adherence to GDPR and data protection policies
Carry out regular system housekeeping

What we are looking for:

Essential

Exceptional attention to detail
Strong understanding of GDPR and data protection practices
Proficiency in Microsoft Office and digital onboarding/vetting systems
Professional and effective communication skills
Previous administrative experience

Desirable

Experience as an Authorised Signatory
Knowledge of Aviation vetting and CAA requirements
Experience in a fast-paced, regulated environment
Strong organisational and administrative skills
Previous experience working in an airport or aviation setting
Understanding of equality and diversity principles
