Job Title: Intercompany Coordinator

Hours: 37.5 hours per week
Job Purpose: To coordinate and administer intercompany order processing and inventory flows between UK operations and European teams, ensuring accurate system updates, timely stock availability, and efficient order fulfilment through effective cross-functional collaboration. Works within established processes, supporting operational delivery and escalating exceptions where required.
Responsibilities:
- Act as a primary point of contact between UK operations and European intercompany teams, ensuring timely and accurate communication.
- Process and coordinate intercompany sales orders within the ERP system (D365), maintaining data accuracy at all times.
- Liaise with Inventory Controllers and relevant teams to support correct stock and batch allocation for intercompany orders.
- Monitor stock availability and provide updates on lead times for out-of-stock items.
- Track incoming stock and support fulfilment of outstanding intercompany orders.
- Raise and process intercompany purchase orders to support stock availability across the business.
- Create and process internal works orders in line with production requirements.
- Coordinate with inventory, production, warehouse, and logistics teams to support smooth order fulfilment.
- Monitor order progress and escalate issues or risks that may impact delivery timelines.
- Maintain accurate system records, ensuring all transactions comply with company procedures.
- Support inventory administration through accurate recording of stock movements between group companies.
- Build effective working relationships with colleagues across multiple European sites.
- Prepare and maintain routine reports, providing basic data reporting and administrative analysis as required.
- Process a high volume of intercompany transactions across multiple entities, ensuring accuracy and timeliness.

Experience and Qualifications:
- Experience in order processing, customer service, or supply chain administration (B2B or intercompany desirable)
- Experience managing sales and purchase orders, ideally within a multi-entity or international business environment
- Experience using ERP systems (D365 or similar preferred)
- Practical understanding of stock control processes, including batch allocation, lead times, and stock movement between locations
- Experience working collaboratively with cross-functional teams such as warehouse, logistics, production, and planning
- Strong organisational skills with the ability to manage multiple priorities and deadlines
- High attention to detail and accuracy in data entry and system management
- Confident communicator, able to liaise effectively with internal and international stakeholders
- Proactive approach to identifying issues and escalating appropriately within defined processes
