Fleet and Corporate Travel Manager

Hook Norton

Contract: Full Time, Permanent
Salary: Up to £ 40,000 per annum Plus Bonus
Hours: 38.5 per week

Our head offices based in the beautiful village of Hook Norton near Banbury. Here you will find our teams of finance, HR, purchasing, marketing & creative that support all of our locations across the Thomas Franks family. There is ample parking space available when visiting.

The Fleet and Corporate Travel Manager will be responsible for the effective management, compliance and cost control of the company’s vehicle fleet and business travel arrangements.

The role will ensure that company vehicles, travel bookings and related supplier arrangements are safe, compliant, commercially controlled and aligned with business needs.

The successful candidate will manage vehicle compliance, supplier performance, fuel and maintenance spend, and fleet reporting, while also acting as the company’s corporate travel coordinator. They will manage the Perk platform, support users with booking compliance, challenge unnecessary or high cost travel, and identify opportunities to reduce leakage, improve advance booking behaviour and rationalise travel spend.

Key responsibilities

Fleet management

Manage the day to day operation of the company vehicle fleet, ensuring vehicles are safe, compliant and cost-effective.
Maintain accurate fleet records, including vehicle allocations, registrations, licences, servicing, inspections, insurance and driver documentation.
Develop, with support from HR and Finance, and maintain practical fleet and travel procedures aligned to company policy.
Coordinate preventative maintenance, MOTs, repairs and inspections to minimise downtime and ensure vehicles remain roadworthy.
Manage vehicle ordering, leasing, replacements and movements within team.
Monitor fuel usage, mileage, maintenance costs, insurance claims and other fleet-related costs to identify savings and efficiency opportunities.
Manage relationships with lease company, insurers, fuel card providers and other related companies.
Track and report on compliance with driver licence checks, insurance requirements, health and safety standards and relevant transport obligations.
Investigate and administer vehicle incidents, accidents, fines, claims and driver-related issues.
Prepare fleet reporting, including vehicle utilisation, cost trends, supplier performance, compliance status and recommended actions.

Corporate travel coordination

Act as the company’s central coordinator for business travel arrangements and the Perk/TravelPerk platform.
Support users with compliant travel booking, profile set-up, booking queries, approvals and escalation of platform issues.
Monitor travel bookings to ensure they are necessary, policy-compliant, appropriately approved and booked in a cost-effective manner.
Challenge avoidable, late, excessive or out-of-policy travel and accommodation bookings.
Encourage advance booking, use of preferred routes, standard/economy travel and lower-cost accommodation options where appropriate.
Review travel spend by person, department, location and purpose to identify leakage, duplication and opportunities to reduce cost.
Work with Finance and department heads to ensure travel costs are correctly coded, recharged and reported and the appropriate approval structure is set up in Perk and adhered to.
Liaise with Perk and alternative travel providers to resolve service, pricing, booking and reporting issues.
Provide regular reporting on travel spend, booking behaviour, policy compliance, savings opportunities and supplier performance. Skills and experience
Experience in fleet management, vehicle administration, transport operations, travel coordination, procurement or supplier management.
Strong commercial and cost-control mindset, with confidence challenging unnecessary spend.
Good understanding of vehicle maintenance, insurance, compliance, driver administration and supplier management.
Experience using fleet, travel, expense or procurement systems such as Perk.
Strong organisational skills and attention to detail.
Confident communicator able to manage suppliers, internal stakeholders and senior users.
Good Excel/reporting skills and ability to analyse cost, usage and compliance data.
Ability to manage multiple priorities and resolve operational issues quickly and pragmatically.

Reduction in fleet and travel cost leakage.
Reduced instances of vehicle non-compliance or accidents due to proactive management and enforcement of policies.
Improved compliance with travel and fleet policies.
Better visibility of fleet and travel spend by person, department and location.
Reduction in late, high cost or out-of-policy travel bookings.
Reduction in average overnight stay and flight/train fare.
Accurate, timely reporting for Finance and senior management.
